Position Summary / Career Interest:
Olathe Cancer Center--The Patient Service Representative Scheduling (PSR Scheduler) is an important member of the physician's care team and critical for creating a pleasant and seamless patient experience within an ambulatory clinic. This work role is primarily responsible for scheduling patient appointments. This work may be done away from the front desk of a clinical area and could include work in a call center setting taking large volumes of patient phone calls. The PSR Scheduler may complete MyChart and EMR (Electronic Medical Record) appointment requests, processing external medical records, assist front desk operations as needed, and helping the physician care team prepare for their daily patient appointments. This work role will also be trained to assist in front office functions of an ambulatory clinic to provide support as needed.
Responsibilities and Essential Job Functions
- Scheduling WorkResponds to a high-volume of incoming telephone calls.
- Schedule internal and external incoming department referrals
- Schedules in person appointments, telehealth visits, surgeries, procedures and/or ancillary services using Epic Cadence decision trees.
- Assists patients in registering and canceling appointments.
- Accurately documents and routes calls to the proper departments as needed.
- Efficiently navigates medical records and ensure patient information is up-to-date and accurately entered in the correct location.
- Follows all regulatory and compliance standards.
- Follows documented protocols and guidelines.
- Responds to outgoing telephone calls and faxed materials.
- Communicates with the care team and supports staff on various patient issues.
- Obtains and updates insurance information.
- Identifies urgent customer needs or operational issues, and escalates appropriately.
- Maintains extensive knowledge of appointment types, locations, providers, and specialties.
- Works to achieve a coordinated patient itinerary sometimes consisting of multiple appointments.
- Responsible for registration of patient during the scheduling process, including entering demographics, insurance verification, completing the Medicare Secondary Payer Questionnaire (MSPQ), scanning and document preparation, updating documentation and processing of referrals/order/appointment requests.
- Preauthorization of clinic specific visits and procedures as needed.
- Assist patient with MyChart activation and support, including how to complete check-in online prior to the appointment.
- Standard ResponsibilitiesAttends and participates in department clinic daily huddles and process improvement initiatives.
- Understands patient experience performance expectations for ease of scheduling appointment, degree to which you were informed of delays, likelihood to recommend practice, courtesy of front desk and staff worked together for your care.
- Supports both front desk and scheduling (telephone and MyChart) workflows.
- Establishes and maintains productive working relationships with providers and the clinical care team.
- Has a working knowledge of patient related policies and procedures as well as an understanding of the University of Kansas Health System services and programs.
- Follows the Health System standard apparel policy.
- Effectively communicates Health System Policies to patients and patient advocates.
- Familiarity with Insurance Coverage types (HMO, PPO, VA, Medicare)
- Expected to provide coverage at alternate locations to help meet critical staffing level needs, as delegated by management.
- Supports and participates in patient experience initiatives including marketing campaigns and event registration.
- Responsible for daily maintenance of workspace and following environmental health cleaning guidelines according to Health System policy and procedures.
- Responsible for following personal protective equipment (PPE) guidelines according to Health System policy and procedures.
- Expected to complete necessary training and successfully pas 30-60-90-day quality assessments.
- May be asked to work in call center setting taking large volumes of phone calls from patients.
- Remains in clinic until last patient is checked out and any follow-up visits are scheduled.
- Additional work responsibilities if needed for front office support within an ambulatory clinic:
- During Visit Standard Check-InResponsible for high volume patient clinic check in/out and phone reception – following health system standards.
- Secures patient signatures for consent and financial forms.
- Follows and completes all standard registration documentation and scanning process in the Health System EMR
- Responsible for collecting all point of service collections due per the EMR generated patient estimate including copay, co-insurance, and deductibles.
- Assist patient with MyChart activation and support.
- Responsible for outpatient clinic direct rooming
- Responsible for supporting patient through self-check-in utilizing MyChart and the EMR
- Post-Visit (Check-out/Follow Up Scheduling)Schedule follow up internal and external diagnostic and therapeutic orders creating a patient itinerary based on provider orders.
- Assist patient with MyChart activation and support.
- Ensure proper front desk coverage until last patient is dismissed from the clinic.
- Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department.

Required Education and Experience
- High School Graduate or GED.
- 1 or more years direct customer service in a health care or contact center environment
Preferred Education and Experience
- College coursework completed towards an Associate’s or Bachelor’s Degree
- Experience in a call center work environment
- Working knowledge of medical terminology
- Working knowledge of EPIC or other patient/customer database
- Clerical, registration and/or customer service experience within a health care setting
Required Language Skills
- Fluent English - Ability to read, write, speak, and understand.
Preferred Language Skills
- - If bilingual-documented proof of competencies via language proficiency assessments
Knowledge Requirements
- Basic computer skills including Microsoft Excel, Word, Outlook and Teams.

Under the supervision of the Nursing Director, Ambulatory or Nurse Manager, Ambulatory, the Ambulatory Clinic Nurse Supervisor assists/supports the clinic administratively and clinically. He/she assists in supervisory planning, organizing, directing, coordinating, and controlling activities. He/she assumes responsibility for patient flow, triage and provides direct patient care. Is responsible for efficient day to day operations of the clinic and optimum use of resources to maximize productivity. - Operational Performance – Assists the Ambulatory Clinic Manager in daily clinical and operational aspects of the clinic including staff scheduling and monitoring of provider clinic schedules to ensure effective resource management and quality improvement through monitoring of clinic key performance indicators.
- Collaborates with the Ambulatory Clinic Manager, Senior Administrator/Director, and Physician leadership to establish patient care standards and evaluates staff compliance. Serves as a mentor for excellence in clinical practice and patient and employee satisfaction.
- Maintains a safe and caring environment for patients that is conducive to positive health teaching and maintenance, meeting patient and family expectations for care while implementing mechanisms to ensure culturally specific care. Responds to patient and family concerns or complaints with sensitivity and compassion in a timely fashion.
- Uses findings from patient and staff satisfaction surveys, complaints, and patient safety events/root cause analysis to plan and improve patient care using active mentoring and performance management strategies including MDI (monitoring daily improvement) boards.
- Assists with hiring, education and performance evaluation of the staff. Works with the Clinic Nurse Manager/Practice Manager and Human Resources in performance management counseling and discipline of staff.

The Patient Registration Representative is responsible for Inpatient/ Outpatient registrations for the Health System. Obtains proper patient identification, demographics and financial information to adequately register and secure the patient encounter. Responsible for POS collections as required. - Monitors schedule daily for patients arriving at the department for the day if applicable.
- Responsible for admitting/registering scheduled and non-scheduled or emergent patients for the assigned department.
- Conducts bedside admission on patients who are direct admits to the unit as needed.
- Obtains identification to assure accuracy of demographic and insurance information. Enter information in computer system with correct spelling of patient name and diagnosis, date of birth, social security number, employer, guarantor and correct medical record number.
- Greets patient and/or relative. Interviews and obtains or rechecks pertinent information.
- As required, collects co-payments or deposits as appropriate for service being rendered.
- Responsible to balance cash drawer as part of the end of the day process.
- Explains facility policies and ensures patient and/or relative understands and signs the consent for treatment, and insurance forms at the appropriate time. Clear and accurate documentation should be entered on the appropriate forms and keyed into the computer system.
- Complies with Medicare/Medicaid and other insurance rules and regulations.
- Completes MSPQ as required for admission.

The Patient Scheduling Representative is responsible for creating a seamless patient experience by coordinating and scheduling appointments for patients. This is a more experienced scheduler that can function across multiple departments and may be floated to cover areas based on staffing needs. This position may mentor lower level staff in need of additional training. The Patient Scheduling Representative may work out of a call center or one of the health system's outpatient clinics.This position may schedule appointments for imaging, laboratory, clinic, infusion, treatment and procedures while demonstrating teamwork and effective communication throughout the process. Procedures may include surgery, ambulatory surgery center appointments and the GI departments. Monitors and responds to appointment requests within the electronic medical record (EMR) workqueues, while also working as a part of the clinical team to answer incoming calls and messages from both clinicians and patients.
Responsible for scheduling all referral appointments to external offices and sending necessary referral and medical records to the referred office/physician. This position may also be required to leverage additional scheduling systems to coordinate schedules for patient care.Responsibilities and Essential Job Functions
- Position responds to a high volume of incoming telephone calls. Responsible for accurate scheduling/rescheduling / cancellations of patient visits; including clinic appointments (in person and telehealth), treatments such as (chemotherapy, radiation therapy, surgeries, procedures and or ancillary services) using extensive knowledge of appointment types, locations, providers and specialties.
- Responsible for registration of patient (prior to visit and/or upon arrival); including entering/updating demographics, insurance verification, document scanning, and processing of referrals. Schedules referral appointments for external offices, faxes/sends necessary referral and medical records to referred physician office utilizing specialty software modules such as Beacon. . .Delivers expert knowledge regarding clinic-specific processes & communicates using medical terminology and grammar accurately.
- Completes daily reminder calls to patients prior to the day of service. Assists with daily charge audits as directed. Assists with maintaining and organizing various logs, records, and miscellaneous data as directed.
- Prepares patient charts prior to the day of service to include reports, office notes, etc. Contacts manufacturer representatives to notify them of scheduled procedures when applicable. Maintains calendar within the scheduling system to reflect accurately. Prepares and distributes schedules as required and in a timely manner.

The University of Kansas Health System Phlebotomist is a position within the clinical laboratory that is responsible for interpreting orders for lab work from providers within The University of Kansas Health System which are entered in the Hospital Information System and orders from outside providers that are presented as a manual order. The Phlebotomist must be able to interpret these orders and accurately identify the correct tube type for each test.The Phlebotomist follows regulatory, accreditation, safety and hospital standards, policies and procedures, and performs positive patient identification for each patient prior to blood draw and confirming patient identification after labeling the tubes. In the ambulatory setting, the Phlebotomist presents labeled tubes to the patient to confirm proper labeling. In the in-patient setting, the Phlebotomist matches the labeled tubes with the patient's wristband.
The Phlebotomist understands the importance of all pre-analytical variables such as positive patient identification, correct tube types, specimen conditions and integrity and how they affect laboratory results, and participates in quality assurance and quality improvement activities. The Phlebotomist releases orders out of the Hospital Information System (HIS) and receives specimens in the Laboratory Information System (LIS); and processes specimens to include centrifugation, aliquoting urine and pouring off plasma or serum if necessary for testing.
The Phlebotomist is considered the "face" of the clinical laboratory and is expected to represent the laboratory and themselves in a professional, respectful and courteous manner at all times. The Phlebotomist follows AIDET guidelines for customer service and patient satisfaction.
Additionally, the Phlebotomist working in the ambulatory setting must prepare specimens for transport by scanning the bar-coded sample onto a LIS packing list. The Phlebotomist must be able to troubleshoot difficult orders and assist with troubleshooting missing specimens when indicated. This position performs some data entry functions, manages requisitions and answers telephones to assist Laboratory customers. The Phlebotomist must be patient focused and capable of multi-tasking in a fast-paced environment.

- Responds to telephone inquiries and provides customer service to the end caller by addressing their needs and troubleshooting.

Additional responsibilities include collaborating with faculty on scholarly activities and providing health education and outreach to the local Parkinson's disease community.
Required Qualifications:

Position Title

The Transplant Nurse Coordinator plans, directs, and provides specialized nursing care with the primary emphasis on the treatment of individuals who have advanced or end stage disease and are in need of a transplant. Provides continuity and coordination of patient care; conducts patient and professional education initiatives; collaborative relationship with multidisciplinary teams, community resources and agencies.Responsibilities and Essential Job Functions
Demonstrate ability to provide comprehensive management of end-stage organ diseases and oversee the patient's journey through the transplant process.
Demonstrate knowledge and ability to facilitate living donation/transplantation and will utilize that knowledge to coordinate the care of the living donor for evaluation and live donation. Identifies appropriate live donor candidate upon referral and interacts with appropriate staff.
Demonstrates knowledge and ability to coordinate the care of the transplant recipient in the outpatient setting to achieve optimal physical, social and emotional rehabilitation. Identifies and responds to recipient/family/legal guardian’s educational, psychosocial and economic needs in post-transplant phase. Reinforces post-operative teaching if applicable. Collects and reviews data pertinent to recipient’s health and organ function. Communicates lab data and diagnostic results to transplant physician/healthcare provider. Implements changes in drug/treatment therapy as ordered by physician(s) and/or health care provider. Arranges for consultations, diagnostic procedures and hospitalization when indicated. Reinforces and facilitates need for well care (i.e., periodic mammography, pap smears and colonoscopy). Ensures recipient is screened annually for malignancy. Assesses recipient’s need for immunizations.
Demonstrates knowledge and the ability to monitor and coordinate care of the candidate awaiting organ transplantation. Develops and institutes a teaching plan addressing transplant candidate/family/legal guardian’s learning need. Maintains/ensures communication with patient, referring physicians, payers, other health care providers and transplant team members. Ensures all screening is obtained regularly per transplant center protocols. Maintains routine health maintenance and surveillance for malignancy during the waiting period. Exhibits ability to maintain and update candidate listing status per regulations. Identifies the need for candidate re-evaluation and initiates when appropriate. Provides and maintains comprehensive documentation of candidate progress.
Demonstrates proficiency and continual growth in the knowledge of transplantation. Reviews and integrates into practice the current professional literature in the field of transplant. Attends practice-related conferences. Participates in professional transplant/procurement organizations. Examines current transplant-related research. Shares knowledge through mentoring/precepting newly hired staff. Demonstrates understanding and the ability to assume responsibility for individual judgments to achieve the highest quality of care for the transplant candidate, recipient, family and living donor.

Identifies and responds to the educational, psychosocial and economic needs of recipient/family/legal guardian during hospitalization. Educates recipient/family/legal guardian regarding care and responsibilities after transplantation.
Educates candidate/family/legal guardian about living donation options, evaluation process, regulations, organ allocation, waiting phase, transplant process, risks/benefits, including utilization of expanded donors, high-risk donors, if applicable, post-operative phase including immunosuppressive therapy and effects, potential research protocols of the transplant program, candidate/family/legal guardian responsibility throughout the transplant process.
Exhibits knowledge and ability to facilitate transplant process when organ becomes available to transplant candidate. This includes defining and adhering to the current regulations and allocation policies. Communicates with the regulatory bodies and collects the appropriate data necessary for decision-making regarding organ acceptance/rejection for transplant. Shares necessary information about the donor organ, including ABO compatibility, with the transplant surgeon/physician. Reviews potential recipient’s current medical status to determine eligibility for transplant. Assesses need for and obtains results of final cytotoxic cross match. Facilitates admission or transfer of patient to the transplant. Arranges any preoperative procedures required (i.e., dialysis). Notifies transplant team of pending surgical procedure. Acts as a liaison between the donor and recipient transplant teams. Exhibits ability to remove transplant recipient from list per regulations. Provides outcome specifics to regulatory bodies for donor family follow-up. Maintains communication with referring physician, health care providers and payers.
Identifies and responds to the psychosocial and economic needs of the transplant candidate/family/legal guardian during evaluation. Demonstrates knowledge of, and compliance with, policies and listing requirements. Informs and educates patient/family/legal guardian at time of listing. Ensures patient and referring physician are informed in writing of transplant listing, denial or postponement. Provides and maintains comprehensive documentation of evaluation process and makes appropriate referrals to specialists.
Interprets serological results of the potential transplant candidate and their implications for transplant. Obtains recipient blood type, tissue typing and cytotoxic antibodies according to transplant center protocol. Identifies possible co-morbidities in the transplant candidate and evaluates as indicated. Identifies absolute and relative contraindications to transplantation. Ensures patient understands risk and benefit of immunizations required prior to transplantation.
Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department.

Required Education and Experience
Bachelor Degree Nursing

The position of Cardiopulmonary Exercise Physiologist uses advanced training and expertise in exercise physiology to perform clinical exercise assessment, advanced clinical exercise testing, and preliminary interpretation of results. This specialty certified technologist assists in the performance of diagnostic, interventional and therapeutic radiologic and ultrasonic guided imaging procedures. This technologist is highly trained in working in surgical type work environments and is specifically trained to work in a sterile field. This job description has been approved by the Radiology Director, Chairman of Radiology, and Executive Committee of the Medical Staff.Responsibilities and Essential Job Functions- Maintains competence in assisting during physician supervised procedures with proper sterile preparation of patient access areas, procedure trays and miscellaneous supplies and devices used during the procedure. This technologist is also accountable for ensuring the proper documentation of the use of contrast material and ensuring there is appropriate documentation related to patient charges.
- Maintains professional, clinical, and technical competency to perform radiologic diagnostic imaging procedures incorporating access techniques developed for specific vascular (arterial and venous), spinal, neurological and general chest, abdomen, pelvis and extremity locations.
- Responsible for completion of mandatory educational assignments as provided by the supervisor, nurse manager or director.
- Follows all organizational policies in regard to confidentiality, HIPPA and maintaining a safe and protected work environment. The technologist is responsible for reporting any action that is detrimental to co-workers, patients, physicians and this organization.
- Maintains a clean and organized work environment. Rooms and equipment should be properly cleaned prior to each procedure. Organizational policies for infection reduction are to be closely followed and maintained.
- Maintains required state and national licensure as a technologist, certification for life support response and IV competence. This technologist is required to be able to understand and utilize the inventory tracking system and be able to order supplies when the opportunity presents.
- Maintains proper radiation protection (apron, thyroid, glasses) and ensuring that personal radiation monitoring device is worn appropriately at all times during procedures.
- Participates with patient safety by participating in “time out” procedures, post procedure “huddles” and abiding by the organizational policies and guidelines related to Culture of Safety.
- Participates in regular on-call responsibilities and is frequently required to stay and work overtime to provide coverage to complete patient care needs.
