Collaborates closely with operational stakeholders and is responsible for the selection, development, implementation, testing, documentation, maintenance, and adoption of application software to effectively meet clinical or business information system needs.I. Major Responsibilities:
Project and Meeting Leadership:
1. Proactively identifies barriers to completing work and escalates issues with proposed solutions.
2. Attends all required meetings, assume accountability for assigned follow-ups and practice closed loop communication.
3. Participates as workstream lead on cross-functional projects, ensure tasks are completed within scope and project management guidelines.
4. Runs optimization requests, including scheduling meetings, identifying timelines, and allocating resources.
Stakeholder Engagement:
1. Develops and maintains partnerships with operational staff, serving as a subject matter advisor for application-related questions.
2. Leads discussions with subject matter experts, caregivers, and vendors to evaluate, design and configure application features.
Product Evaluation and Application Support:
1. Attends product demonstrations to assess system functionality against customer requirements and recommends appropriate software solutions.
2. Facilitates application upgrade processes, including recommending new functionalities to operational caregivers.
3. Tests new features and functionalities and develop Job Aids for customer support and training.
Issue Investigation and Troubleshooting:
1. Investigates application and system configuration issues to develop and implement effective system fixes.
2. Participates in ticket triage and analysis to determine the appropriate work stream and assist in scoping efforts.
3. Independently troubleshoots application components within server configurations, including system services and interface jobs, and engage other teams as necessary.
4. Effectively participates in critical incident response and escalates appropriately as needed.
Collaboration and Configuration:
1. Collaborates with subject matter experts, caregivers, and vendors to evaluate and configure application features.
2. Configure application features, security settings, and develop support documentation, including test scripts and workflow diagrams.
3. Builds relationships with third-party vendors to maintain vendor software.
Documentation and Training:
1. Develop support documentation for application teams, including test scripts, workflow diagrams, and knowledge base articles.
2. Partners with the training team to create end-user training materials.
Mentorship:
1. Mentors less experienced team members, providing guidance and support for their development.
Continuous Learning:
1. Actively learns and applies new skills to improve support for customers and coworkers.
2. Continuously advances knowledge of current products, including obtaining application certifications and staying updated on system configurations and emerging technology and industry trends.
3. Actively participates in professional development programs defined by department.
Adaptability:
1. Demonstrates high adaptability to dynamic responsibilities and evolving project requirements.
Must be able to work off hours as needed and participate in an on-call rotation.
II. Position Qualifications:
License/Certification/Education:
Required:
1. Bachelor's degree in Computer Science or related field, or equivalent work experience.
2. Workday Application certification(s) or ability to achieve, as required by department.
Experience/Skills:
Required:
1. 3 years experience with enterprise platforms (EHRs/ITSM/ERPs).
2. Team player with strong problem solving, time management and decision-making skills, ability to maintain a positive attitude, solution focused.
3. Able to act independently with minimal oversight.
4. Able to serve as a mentor to less experienced team members.
5. Able to lead meetings and effectively communicate with all users at all levels of the organization.
Preferred:
1. Healthcare experience.

Reporting to the Chief Quality Officer, the Associate Vice President for Quality, Safety and Regulatory (AVP QSR) works collaboratively with the UMMMC/UMMMG Center for Quality and Safety (CQS) leadership team to develop and oversee the implementation of the quality and safety strategy for UMMMC and UMMMG. The AVP QSR will create and maintain a structural framework and manage systems supporting innovative, quality, safety, regulatory and accreditation processes for ongoing sustained improvement, ensure compliance with public reporting and licensing regulations set forth by external agencies such as Centers for Medicare and Medicaid, Joint Commission, and the Massachusetts Department of Public Health; provide leadership and coaching to the Quality, Safety and Regulatory Directors and serve as a resource to those who have similar departmental responsibilities within the Medical Center and enhance collaboration of quality and safety work across the system. The AVP QSR works with the Director(s) and members of the CQS team to promote a safety culture that supports UMMMC caregivers as well as improving clinical outcomes and reducing patient and caregiver harm.I. Major Responsibilities:
1. Design and continuously enhance system readiness for The Joint Commission or other accreditation organizations regarding compliance, survey readiness and self-assessments, including tracer rounds with defined tools and processes that include feedback from the patient and/ or family, rounds with Senior leadership, and other unit/service specific tracers. Ensures systems to export tracer and other data is automated and standardized for efficient follow up.
2. Works collaboratively to establish Quality and safety goals that meet or exceed national standards.
3. Evaluate and improve standard work processes and widespread communication for quality and safety improvements that support the organization’s Strategic plan. Focus includes but not limited to; SAFER Teams, Zero Harm Journey, Diversity Equity Inclusion and Belonging, and the Culture of Safety.
4. Create internal and external support networks to connect departmental and facility specific quality, safety, and regulatory functions.
5. Enhances and standardizes the use of automated data in preparing, tracking, and coordinating communication regarding quality, safety and regulatory compliance and improvement.
6. Integrates and standardizes system processes with the Risk Management team for Mandatory Reporting and Serious Event Reporting to meet regulatory requirements and improve patient Safety.
7. Support further integration of a daily management system to support quality and safety problem solving utilizing lean methodology and the electronic daily management system.
8. Directly oversee and provide mentorship to the Directors of Quality, Safety and Regulatory to ensure that initiatives are progressing towards goal. Work to develop a culture of learning and continuous performance improvement for the staff in the Quality, Safety and Regulatory teams.

1. Directs and supervises assigned personnel including performance evaluations, scheduling, orientation, and training. Makes recommendations on employee hires, transfers, promotions, salary changes, discipline, terminations, and similar actions. 2. Develops and recommends the budgets for the areas managed. Manages activities to ensure financial goals are met.

4. Provides effective direction, guidance, and leadership over the staff for effective teamwork and motivation; and fosters the effective integration of efforts with system-wide initiatives.

II. Position Qualifications:
License/Certification/Education:
Required:
1. Master’s degree or above in public health, nursing, health care administration, business administration or related areas.
Preferred:
1. RN degree.
2. Lean certification preferred and if not certified, must be committed to achieve certification in a reasonable timeframe.
Experience/Skills:

1. Seven years related experience in management roles.
2. Minimum of 10 years of related professional experience.

Under the direction of the RN circulator as dictated by the standards in the Medicare Conditions of Participation for surgical services, assists surgical team during operative procedures. Arranges and inventories sterile set up for operations. Assists in preparing, moving and positioning patients. Performs sterile scrub procedures and related activities such as preparation and draping the patient and operative area. Passes instruments, sutures, sponges and supplies in accordance with hospital policy and procedure. Participates in the turnover of operating rooms.I. Major Responsibilities:
1. Demonstrates proficiency in the scrub role in all assigned cases. Scrubs with all surgeons in assigned service areas.
2. Prepares the Operating Room for cases. Selects and checks case cart and preference cards for correct instrument pan(s), packs, sterile supplies and additional items needed for the case according to the procedure and surgeon preference card. Performs surgical count with circulating nurse according to established policy.
3. Responds to needs of surgeon and other team members. Assists operative team and anticipates needs of the surgeon and/or assistants during cases including the need for special equipment and supplies. Remains constantly observant of the operative field, recognizing emergency situations and performs emergency procedures as directed. Utilizes a variety of OR equipment such as microscopes, CUSA, steam sterilizers, suction, compressed air/gas, etc.
4. Passes and tracks instruments, sutures, and supplies during procedures. Labels all medication and solutions on sterile field. Monitors sponges, needles and instruments throughout the case. Cares for specimens to prevent loss or damage. Uses caution when handling specimens to ensure proper anatomical identification.
5. Assists in completing procedures. Participates in closing counts at appropriate times, sponge and needle count at change of shift according to the count policy. Assists in the application of dressing and/or cast. Assists with transferring patient from OR table to stretcher/bed when appropriate.
6. Prepares operating room and supplies for subsequent cases. Communicates with others to facilitate the timely turnover of operating rooms. Assures all sharps from back table are disposed of properly in biohazard sharps receptacle. Participates in cleaning, decontamination and sterilizing instruments and equipment. I. Major Responsibilities:
1. Conduct on-site education for physicians, healthcare providers, and patients across all transplantation phases. Plan and implement transplant patient education programs. Develop and maintain clinical educational materials for professionals and patients. Act as a resource for patients and families, providing guidance and support. 2. Oversees the planning, organizing and implementation of assigned projects, programs, and campaigns to strengthen public interest and goodwill for the Transplant Division. Support program expansion through engagement with referring providers, patients, and diverse audiences. Monitor scheduling of provider education and outreach events regionally. Plan and execute outreach initiatives, site visits, conferences, CME activities, and events to promote the Transplant Program. Conducts tabling events and grassroot marketing at physician offices, dialysis facilities and in the community. Organize and participate in community events to raise awareness about transplantation. Establish relationships with community organizations, advocacy groups, and support networks.
3. Follow up on queries from referring physicians, administrators, or healthcare providers and establish strategies for service excellence.
4. Maintain open communication with the transplant leadership team and external stakeholders.

Primary Duties and Responsibilities
- Provides oversight of daily patient experience and clinic operations for the Zakim Center. Partners with the Clinic Medical Director and Administrative Director to implement strategic initiatives and quality improvement projects. Collaborates with clinical and administrative leaders to identify operational issues, recommend solutions, and support continuous improvement. Ensures clinic operations align with organizational goals, service standards, and patient care priorities.
- Managers day-to-day scheduling activities for Zakim services across the Longwood campus and regional locations, including monitoring daily reports, identifying gaps, and resolving issues within complex scheduling systems. Creates, edits, and modifies provider and nursing templates in Epic in response to leadership and clinician needs. Establishes and maintains best practices for scheduling across multiple departments and services to ensure compliance with Institute standards and support Zakim’s care model. Assists in developing documentation, referral pathways, and operational workflows for new service lines, and collaborates with research and Epic teams to support study participant scheduling, system updates, efficiency improvements, and adoption of new tools.
- Coordinates with the Disease Center Administrative Director to monitor provider template utilization and recommend improvements that maximize exam room use, room efficiency, and overall clinic flow. Oversees patient rooming, patient movement, and real-time throughput to ensure visits are safe, efficient, and patient-centered. Makes immediate operational adjustments as needed to minimize delays and maintain effective clinic flow. Ensures infection control practices are consistently followed in accordance with institutional standards and guidance from the infection control department.
- Manages patient feedback and complaints, including matters filed through Patient Family Relations, and works directly with staff, patients, and leadership to resolve concerns in a timely and professional manner. Implements corrective actions and process improvements to enhance the overall patient experience. Partners with clinicians, staff, and leadership to proactively identify potential service issues and address barriers to care. Promotes a responsive, respectful, and supportive environment for patients and families.
- Forecasts, develops, monitors, and evaluates the annual budget for the clinical floor, including performing variance analysis and implementing improvement plans as needed. Oversees the Zakim Center’s financial assistance program, including the tracking and administration of patient support funds. Manages clinic payment collection processes, including online payments, credit card processing, and care card usage. Collaborates closely with Patient Accounting to review, reconcile, and ensure the accuracy of charges, payments, and related financial records.
- Ensures ongoing compliance with organizational policies and procedures and applicable regulatory requirements, including HIPAA, Department of Public Health standards, CMS, and The Joint Commission. Serves as the clinic’s first point of contact for IT equipment and user-interface issues and supports troubleshooting and communication during technology outages to minimize disruption to patient care. Provides administrative support during medical emergencies and leads or coordinates staff and patients during emergency response events. Participates in contingency planning for weather-related or other unplanned disruptions and coordinates with Facilities on repairs, maintenance, and environment-of-care issues.
- Supervises staff. Hires, develops, and manages staff to achieve organizational goals. Sets clear expectations, delivers feedback, and monitors performance for quality, efficiency, and compliance with policies and procedures. Mentors staff, fosters career growth, and cultivates a positive and productive work environment.
Knowledge, Skills and Abilities
- Working knowledge of computers required. Previous experience with Epic electronic medical record system preferred.

5. Serves as a resource to sonographers, MDs, and students.

Collects blood specimens by venipuncture and capillary from patients. Performs EKG, pulse oximetry, and point-of-care testing on inpatients and outpatients as required.Major Responsibilities:

- Work as an integral part of the clinical research team to ensure accurate and effective scheduling of all assessments needed for patients on clinical trial.
- Coordinates all related clinical trial treatments, tests and procedures, required by each clinical trial while adhering to protocols specific and Dana-Farber scheduling guidelines.
- As all patients in this job family shall be considered high risk or falling under highly regulated services, this job family is responsible for carrying out specialized tasks to support regulatory requirements and patient safety, requiring an understanding of the sequential processes involved in clinical trials and patient treatment plans that fall under specified regulatory controls.
- Carries out or supports patient education in person and/or by telephone, involving effective communication of complex appointment schedules.
- Participates in continuous training and maintains current knowledge of the clinical process, regulatory standards, and requirements that impact the assigned patient population to achieve patient safety, flow and resource utilization goals of the organization and sponsoring agencies.
- Ensures appropriate order placement per disease specific and Dana-Farber Guidelines of required study assessments, including but not limited to: Labs, Radiology, Echocardiograms, Electrocardiograms, Pulmonary Function Tests, Pharmacokinetics
- Responsible for ensuring scheduling templates are updated to reflect any changes affecting patient scheduling.
- May lead or participate in the development of new scheduling systems or processes.
- Act as primary point of contact to the clinical research team, patients, and caregivers regarding all scheduling manners.

- Monitor status of referral request and follow-up as necessary to ensure patient receives service on timely basis.
- Arranges telehealth visits per protocol, hospital and state guidelines for patients eligible for telehealth visits. Ensuring appropriate communication between provider, admin, and patient.

Primary Duties and Responsibilities:
- Lead the ancillary and medical device technology portfolio. Provide strategic and operational leadership for systems and services that support ancillary and medical device-related functions, including pharmacy, clinical laboratory, blood and blood donor, imaging, symptom management, clinical pathways and patient safety domains. Ensure portfolio plans, priorities, and sequencing align with enterprise objectives, operational requirements, and future-state planning.
- Establish governance and cross-functional partnership models. Create and lead governance processes, decision forums, and escalation paths that support aligned planning and execution across technical teams, operational leadership, clinical stakeholders, quality and patient safety leaders and external partners.
- Guide technology planning and readiness. Lead planning for new capabilities, innovations, upgrades, integrations, workflow improvements, and service enhancements. Partner across internal and external technology teams and operational and clinical functions to define scope, dependencies, governance, KPIs, timing, and readiness needs for initiatives with operational and strategic impact.
- Provide oversight of delivery, operational performance, and risk across the portfolio. Establish expectations and standards for program oversight, status reporting, issue management, escalation, and execution across multiple initiatives and workstreams. Make recommendations related to resource allocation, sequencing, and risk mitigation within established governance and budget parameters. Ensure work is executed in a way that supports reliability, scalability, and alignment with Institute priorities.
- Lead teams responsible for ancillary and medical device technology delivery. Direct a function that includes project managers, business analysts, and other team members supporting operational support, build coordination, requirements analysis, business case development, testing strategy, stakeholder impact analysis and communication plans, and related program delivery activities. Ensure team efforts remain aligned with governance decisions, portfolio priorities, and changing organizational needs.
- Drive cross-functional communication, stakeholder engagement, and influence. Build and maintain strong working relationships with Information Services, clinical and operational leaders, quality and patient safety stakeholders, and external partners. Communicate strategy, decisions, risks, dependencies, and impacts clearly to support alignment, resolve competing priorities, and enable coordinated execution across teams.
- Supervise, develop, and support staff. Recruit, lead, and develop a high-performing team. Set clear expectations, provide coaching and feedback, evaluate performance, and promote accountability for quality, efficiency, outcomes, and compliance with organizational policies and procedures. Assists with ensuring the safety of specific patients. Providing constant observation or scheduled safety checks for those patients who have been determined to be at risk for potential injury to self or others. Performs other support duties as described below.I. Major Responsibilities:
1. Provides constant observation of high-risk patients as assigned by the designated Registered Nurse (RN).
2. Assists the patient to get undressed, removes items that may pose safety risk, and secures personal belongings according to unit policy.
3. Monitors the patient’s and conducts patient safety checks at required intervals for an assigned group of patients.
4. Escorts and supervises patients in the bathroom depending on level of care, under the direction of the RN, assists patients with meals and comforts and de-escalates patients by using sensory techniques and distraction techniques as needed.

6. Notifies the nurse of changes in patient activity, mood, behavior, requests for medication and calls for assistance when necessary.

10. Continuously monitors patients and reports any potentially unsafe behaviors, or patients that appear to be escalating to the assigned nurse throughout the shift.
11. Reports concern to RN if patient’s family or visitors are contributing to escalating behavior.
12. Performs environmental safety check of patient and patient's room and removes potentially harmful items at the beginning of each shift and between discharges from rooms.
13. Constantly checks for and remedies potentially hazardous situations such as improperly open or unsecured equipment, doors, and windows.
14. Reports any potentially unsafe environmental issues that cannot be remedied to the assigned RN throughout the shift.
15. Follows the Policy & Procedure(s) related to Constant Observation and patient safety.
16. Accompanies the patient for diagnostic or therapeutic procedures as directed by the RN or provider.
17. Documents patient behavior and safety checks at required intervals and ensures documentation is placed in the patients chart..
18. Provides thorough handoff communication to the on-coming Observation Assistant.
19. Performs a variety of duties to support patient care and the operations of the department.
20. Engages patients in therapeutic or calming activities as directed by nursing staff.
21. Maintains work area in neat and orderly manner. Stocks carts & supplies. Transports patient or equipment.
22. Answers telephones, takes messages, and completes light clerical duties such as filing as assigned.
23. Follows department/hospital policy and procedure on Infection Control, Fire Safety, etc., including training programs (including de-escalation and restraint training) and demonstrates competency and proficiency as required.

1. High School Graduate or equivalent.
2. Must be able to complete de-escalation training.
3. Current Basic Life Support or Heart Saver certification.

1. Communication Skills: Ability to read, write, speak effectively in English and have good interpersonal skills, required.
2. Demonstrates the ability to remain calm when under stress or in emergency situations.
3. Must be able to assist in the physical restraint of disturbed patients.
Preferred:
1. Previous experience in patient care, mental health/intellectual disabilities, teaching/child care/special needs students or public safety preferred.
Unless certification, licensure or registration is required, an equivalent combination of education and experience which provides proficiency in the areas of responsibility listed in this description may be substituted for the above requirements.
Department-specific competencies and their measurements will be developed and maintained in the individual departments. The competencies will be maintained and attached to the departmental job description. Responsible managers will review competencies with position incumbents.
III. Physical Demands and Environmental Conditions:
Position requires work indoors in a patient care environment. Work requires continuous visual inspection and auditory monitoring of patient movements and activities. Work requires frequent rapid physical response to unsafe patient movements; this includes standing, walking, running, reaching, bending, lifting and stooping.
