The rehabilitation scheduler/registrar colleague is responsible for greeting patients, obtaining a proper physician order, scheduling, and registering patients for rehab services. Responsible to obtain proper identification and insurance information from each patient, and ensure the patients understand their insurance benefit for therapy on their first visit. Responsible for day-to-day operations of the therapy offices, including identification of issues that need the attention of other members of the team. Maintain excellent records and file systems. Assist with general needs of staff. The rehab services scheduler/registrar also assists in obtaining appropriate information for Inpatient Rehab Unit admissions; communicates with various physicians, nursing, and utilization review staff to ensure a smooth admission.
REQUIRED EDUCATION, EXPERIENCE AND CERTIFICATION/LICENSURE
Education: Minimum high school diploma; prefer college education
Experience: Prefer 1-year previous office experience, preferably in a medical setting or the equivalent training and/or education
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
1. Maintains good rapport and cooperative relationships. Approaches conflict in a constructive manner. Helps to identify problems, offer solutions, and participate in their resolution.
2. Maintains the confidentiality of information acquired pertaining to patient, physicians, colleagues, and visitors to Chelsea Hospital. Discusses patient and hospital information only among appropriate personnel in appropriately private places.
3. Behaves in accordance with the Code of Conduct, Service Excellence Standards, and the Mission, Vision, Values and policies of Chelsea Hospital.
4. Assumes responsibility for performance of job duties in the safest possible manner, to assure personal safety and that of coworkers, and to report all preventable hazards and unsafe practices immediately to management.
a. Obtaining legal prescription/order for rehabilitation services from patient, or physician office. When appropriate, also obtains office notes.
b. Scheduling of patient appointments.
c. Gathers accurate insurance information for verification.
d. Efficient and thorough registration of each patient to ensure proper billing.
e. Gathers data for process improvement.
f. Demonstrates accurate and timely communication with all colleagues and dept leadership.
g. Assists co-workers in completion of daily duties.
h. Verifies insurance eligibility, benefits and obtains insurance authorizations as appropriate. May need to coordinate with advanced registration department and/or billing department. Reviews insurance benefits with patients upon registration process.
i. Receives co-pays from patients and completes required documentation of payment. Provides a receipt to patient if requested.
j. Will check-in appointments within the EMR.
k. Will monitor and work reports as defined by dept leadership.
5. Demonstrates self-directed learning.
6. Provides excellent customer service by considering the age specific, development and cultural needs of patients, families and visitors. Demonstrates unit/area competencies to specific clerical tasks.
7. Identifies and assists in resolution of problems related to safety, sanitation and maintenance of the environment.
8. Practices effective communication in all interactions (patient, visitor, co-worker, etc.)
9. Promotes a positive work environment by demonstrating teamwork.
10. Efficiently navigate between several software programs and patient and staff interaction.

This opportunity offers initiatives aimed at improving patient outcomes/safety, optimizing efficiency of patient progression through hospitalization, implementing new systems and processes, and establishing consistent standards of practice in the acute care oncology setting.
The successful applicant will become an active member of the Department of Medical Oncology at Dana-Farber Cancer Institute (and will be provided with mentorship aligned with their professional interests). Academic rank as Instructor or Assistant Professor of Medicine at Harvard Medical School will be commensurate with experience, training, and achievements. The chosen candidate will have opportunities to oversee and teach house staff and APPs.
Required credentials include an M.D. or D.O., and ABIM certification in internal medicine. Hematology-Oncology fellowship training preferred but not required. Qualified candidates must have legal authorization to work in the United States. J-1 visa sponsorship is not available

- Under the direction of the scheduling operations management team, provides appointment scheduling ranging in complexity from one physician appointment to multiple care provider appointments in accordance with department scheduling guidelines for existing patients
- Obtains detailed clinical information face-to-face, by telephone or electronically
- May provide basic information regarding the need for insurance referral(s)
- Provides general disease or program-specific information to callers/patients within the scope of knowledge and authority
- Performs independent patient and outside provider call triaging and assists in directing patient flow
- Serves as a liaison between patient/family/provider
- Resolves issues directly or ensures appropriate management of call by others
- Recognizes emergencies and appropriately responses using standard operating procedures and critical thinking skills

PRIMARY DUTIES AND RESPONSIBILITIES:
- Practices in accordance with all federal (e.g., Drug Supply Chain Security Act), state, and DFCI and Joint Commission policies, regulations, and standards.
- Performs daily returns-to-stock, cycle counts and ensures on-hand accuracy of all Rx and OTC inventory.
- Responsible for all pharmacy iventory related activities such as commercial drug storage within the pharmacy.
- Provides support for such storage at satellite locations, auditing inventory transactions, reviewing short-dated drugs to ensure proper handling and stocking, etc.
- Oversees appropriate inventory rotation, removal and return of expired products, damages, recalls, and saleable returns (in cooperation with Purchasing Specialist when needed).
- Ensures that the main pharmacy areas are kept well organized and coordinates physical inventory counts.
- Maintains inventory-related metrics and reporting including month-end report, inventory volumes, etc.
- Participates in the management of third-party inventory management systems (e.g., contact with vendor representatives, tracking and scheduling all preventative maintenance, super user for all inventory related technology, including drug storage/dispensing equipment, responds when technology is not working properly and triages as appropriate, etc.).
- Provides assistance and training to staff on the appropriate storage of products, and whether such products are appropriate to be broken open. Uses notes within the Pharmacy Dispensing System to help staff identify proper handling of products.
- Receives inventory accurately in Pharmacy Management System and maintains invoice documents appropriately.
- Serves as the primary point of contact for transfers of inventory between OPD satellite locations.
- Identifies products for staff that require special handling due to their hazardous nature and trains staff on such handling.
- Leads the orientation and training of all pharmacy staff for inventory related policy, procedures, and technology.
- Leads the orientation and training of all inventory-related processes including the use multiple inventory systems (e.g., Parata, Carousel). May conduct site visits to remote locations to ensure inventory process are being followed and providing hands-on re-training as necessary.
- Works with the Outpatient Pharmacy team to identify gaps in processes and any specific drug or supply related issues. Works in coordination with the Purchasing Specialist to identify issues with data in our inventory management systems at all locations.
- Provides cross-coverage to Purchasing Specialist role and other Outpatient Pharmacy Department areas when necessary (e.g., production, drop-off, pickup, etc.).
- Maintains all inventory logs and forms (borrow logs, invoice tracking logs in Teams, nicotine employee sales) related to inventory management.
- Coordinates with Purchasing Specialist to ensure proper inventory par levels are maintained on site and provides support to other sites when needed.
- Attends monthly OPD and weekly MM meetings related to inventory management.
- Leads one special project per year.

5 years of experience with outpatient or retail pharmacy inventory as a pharmacy technician or similar role (preferably in health system outpatient pharmacy) required, or 2 years of experience as DFCI outpatient pharmacy technician level 2, 3, or 4 (or equivalent experience in a similar institution). Experience with current OPD systems/ technologies (e.g. Parata, Carousel, and/or Enterprise Rx) preferred.
License/Certification/Registration:

Responsibilities
· Design, execute, and interpret a program of independent wet-lab research, with mentorship from the principal investigator.

PRIMARY DUTIES AND RESPONSIBILITIES:
OPERATIONAL:
- Oversees the day-to-day performance of Protocol Schedulers. Identifies opportunities for improvement. Understands at a fundamental level how to complete the tasks required by those under their management and provides support as needed.
- Assists Established Scheduling Operations leadership with the implementation of policies, programs, and procedures.
- Develops and maintains staff schedules and develops contingency plans for scheduled and unscheduled absences.
- Monitors staff performance metrics and KPIs.
- Ensure that HIPAA policies and procedures are fully implemented and adhered.
- Ensures the on-site physical work environment of scheduling staff is maintained.
- Evaluates staffing needs to meet quality and performance standards. Ensures that all necessary resources are available and troubleshoots whenever necessary.
- Identifies, monitors and resolves IS and telecommunication issues which impact daily operations.
- Problem solves and identifies opportunities for improvement in day-to-day operations.
- Participates in hardware/software installation, troubleshooting, system access, etc.; serves as resource for questions related to information systems.
- Serves as resource for staff to ensure that safety issues are addressed.
- Hold regular meetings with administrative and clinic staff.
- Covers for other Established Patient Scheduling Supervisors as needed.
SCHEDULING
- Acts as the subject matter expert for all scheduling processes and procedures for assigned disease groups. Works with providers and Administrative Directors to develop and implement workflows related to scheduling in compliance with standard scheduling practices. Keeps all documentation, tools, and resources for staff up to date.
- Proactively reviews scheduling orders and sets priorities for CSS based on patient impact. Manages scheduling deadlines and delegates work to staff as needed. Uses judgement to escalate to leadership when a deadline is at risk.
- Acts as the primary resource for staff for all questions related to patient scheduling. Serves as the first point of escalation for complex scheduling issues, including those involving appointments with more than one provider, procedures and/or imaging.
- Manages all stakeholder communications and expectations pertaining to patient scheduling. Provides regular updates to disease center leaders and clinical directors on program progress, successes and areas for improvement or adjustment. Works closely with the New Patient and DFCI Welcome Center teams to share cross-functional information.
- Ensures all scheduling is completed efficiently while striving to provide excellence in the patient contact experience. Leads small scale process improvement efforts and monitors key performance indicators. Monitors processes so that correct special billing and revenue processes function properly.
- Troubleshoots a wide variety of issues that arise related to patient scheduling. Triages complaints to Patient and Family Services department as needed and works to resolve issues to patient/family’s satisfaction.
- Uses discretion to recognize emergencies and resolve issues. Engages leadership when appropriate.
- Other duties and responsibilities as assigned.
Personnel/Human Resources:
- Provides HR management in the areas of hiring, corrective action, training, and evaluation of employees.
- Assess operational performance and staff morale
- Completes performance evaluations for Clinical Scheduling Specialists and/or Protocol Schedulers. Develops employees through on-going coaching, counseling, and training. Administers corrective action if appropriate.
- Develops, oversees, and monitors competency training for assigned staff to ensure training and compliance with regular competencies and task monitoring.
- Ensures judicial use of overtime for assigned staff
MINIMUM JOB QUALIFICATIONS:
- High school diploma required; Bachelor’s Degree in health administration or related field strongly preferred.
- 2 years of related health care and/or customer service experience required.
- Level II experience required (internal).

Responsible for the planning, delivery and management of direct patient care utilizing the nursing process and adhering to the standards of nursing practice.I. Major Responsibilities:

Serves as critical front line technical role responsible for problem resolution for the host of enterprise end user equipment and systems including, but not limited to, PCs, laptops, thin clients, peripherals, printers, scanners, tablets, mobile phones and email/application configuration on approved smart phones.I. Major Responsibilities:
1. Responsible for imaging and software installs on end user devices.
2. Logs and monitors customer questions, issues, and problems through resolution/completion.
3. Provides customer updates and status reports regarding open customer issues as appropriate.
4. Maintains Service Level Agreements set forth by the organization.
5. Creates knowledge base articles containing job aids for step-by-step instructions on how to use hardware or software, step-by-step installation instructions on how to install and configure hardware or software and how to triage and troubleshoot known hardware and/or software issues.
6. Provides configuration, deployment, and operational support of various end user devices and software/systems, including but not limited to, hardware devices, operating systems, workstations, mobile devices and operating systems, printers, scanners, barcode and document scanners, peripherals, and software applications throughout the organization.
7. Activates cellular service on mobile devices for various carriers.
8. Troubleshoots the installation/upgrading, configuration, troubleshooting and support of various Windows operating systems and compatible software applications.
9. Troubleshoots and supports file and print services.
10. Performs data and/or application backup and verification as necessary.
11. Conducts performance and functional testing on equipment and software and restores any data and/or applications as necessary. Adjusts configuration options as required for installation.

15. Performs administration of OS registry level and active directory, including mobile device management.

17. Identifies and troubleshoots network issues as it relates to end user devices.
