The Associate Director of Clinical Research Operations for Radiation Oncology provides strategic, operational, and administrative leadership for the department's clinical research enterprise across the main campus and affiliated network sites. This role is responsible for advancing a high-quality, compliant, and financially sustainable clinical research program that supports the organization's mission of delivering innovative cancer care through cutting-edge research.
The Associate Director oversees all aspects of clinical research operations, including regulatory compliance, financial stewardship, quality assurance, portfolio development, operational performance, and human resource management. Working in close partnership with physician investigators, research leadership, institutional departments, and external collaborators, the Associate Director develops and implements strategies to expand clinical trial opportunities, optimize study activation and enrollment, strengthen research infrastructure, and ensure consistent standards across all research locations.
As a senior leader, the Associate Director builds and develops high-performing teams, fosters a culture of collaboration, accountability, innovation, and continuous improvement, and serves as the department's primary representative for clinical research initiatives within the institution and across external research networks. This position provides strategic guidance to departmental and institutional leadership on clinical research priorities, operational planning, resource allocation, and organizational growth while ensuring compliance with all applicable regulatory, sponsor, and institutional requirements.

Primary Duties and Responsibilities
- Provide strategic leadership for the Radiation Oncology Clinical Research program, establishing the vision, priorities, and operational framework to advance a high-quality, compliant, and innovative clinical research portfolio.
- Direct clinical research operations across the department and network sites, ensuring regulatory compliance, quality assurance, financial stewardship, protocol oversight, and continuous process improvement.
- Build and maintain strategic partnerships with investigators, industry sponsors, affiliate hospitals, research networks, and institutional stakeholders to expand clinical research opportunities and strengthen collaborative initiatives.
- Lead clinical trial portfolio development and performance, driving study feasibility, enrollment, recruitment, retention, new technology implementation, and growth initiatives that enhance research quality, capacity, and organizational impact.
- Oversee network and affiliate research programs, ensuring operational alignment, contract coordination, consistent standards, regulatory readiness, and successful integration across all satellite and community locations.
- Provide executive leadership for clinical research staff, including organizational design, talent acquisition, performance management, professional development, succession planning, and fostering a culture of accountability, collaboration, and excellence.
- Represent the department in institutional leadership and governance, serving on key committees, leading cross-functional initiatives, communicating organizational priorities, and advising senior leadership on clinical research strategy, operations, and resource planning.
- Supervise staff. Hire, develop, and manage staff to achieve organizational goals. Set clear expectations, deliver feedback, and monitor performance for quality, efficiency, and compliance with policies and procedures. Mentor staff, foster career growth, and cultivate a positive and productive work environment.
Knowledge, Skills and Abilities
- Expert knowledge of clinical research regulations and compliance, including FDA, OHRP, GCP, IRB, Medicare National Coverage Determination (NCD), and applicable federal, state, sponsor, and institutional requirements governing clinical research and research financial compliance.
- Advanced knowledge of oncology clinical research operations, including protocol development and feasibility, study start-up, enrollment and retention strategies, investigational drug and device management, quality assurance, auditing, and clinical trial lifecycle management.
- Strong financial and operational management expertise, including clinical trial budget development and negotiation, financial forecasting, compliance auditing, resource allocation, cost containment, and oversight of research funding and staffing models.
- Demonstrated executive leadership and people management skills with the ability to lead managers and multidisciplinary teams, drive organizational change, develop talent, build high-performing teams, and influence stakeholders across academic, clinical, and administrative environments.
- Exceptional strategic planning, project management, and process improvement capabilities, with the ability to manage complex initiatives across multiple sites, prioritize competing demands, solve operational problems, and implement scalable, data-driven solutions.
- Outstanding analytical, communication, and relationship-building skills, including the ability to interpret clinical and operational data, prepare executive-level reports and business proposals, negotiate with internal and external partners, and effectively communicate with investigators, sponsors, regulatory bodies, and senior leadership.
- Proficiency with clinical research and healthcare technology systems, including electronic medical record systems (such as EPIC), clinical trial management systems (specifically OnCore), electronic protocol and regulatory compliance tracking systems (such as iRIS), electronic data capture platforms (like RedCap), financial and HR systems (WorkDay), and advanced Microsoft Office and data analysis tools, with meticulous attention to detail and the ability to manage multiple high-priority initiatives simultaneously.
Minimum Job Qualifications
- Bachelor’s degree in science, public health, healthcare administration, or nursing required. Master’s degree preferred.
- 6+ years clinical research experience, including at least 4 years of experience directly supervising staff, required. Experience in an academic medical center environment preferred.
- Extensive experience in healthcare research and related compliance, auditing, conducting investigations, monitoring standards, or related experience required.
- Experience with IND/IDE filings required.
- Project management experience in a healthcare setting preferred.

- Provides operational and administrative support in the development and implementation of program functions.
- Staffs program meetings including preparing agendas, generating minutes, following up on action items and supporting related program initiatives and projects.

- Serves as a central point of contact between staff, other departments, and/or external constituencies on day-to-day programmatic, operational, and administrative matters.

- Maintains and manages processes associated with varied programs, projects, and events.

1. Provides clear, timely communication to the RN regarding observations and changes seen in patients. Examples, but not limited to changes in skin condition, vital signs, and/or mental status.
2. Provides constant observation of high-risk patients as assigned by the Resource Nurse or designee.
3. Participates in the development and maintenance of a safe environment. Works to utilize interventions to de-escalate patients and if unsuccessful participates in restraints in accordance with training and education as directed.
4. Assists patient with daily living activities such as personal hygiene, ambulating, meals and nourishment.
5. Assists in moving, lifting, positioning, and transporting patients by utilizing proper safety techniques and body mechanics in all work-related activities.
6. Maintains patient safety by performing patient safety checks, utilizing fall prevention alternative devices/strategies as directed, and following the Restraint Policy standards when caring for a restrained patient.
7. Takes and records vital signs (temperature, pulse, respirations, blood pressure and pulse oxymetry). Measures and records patients’ height and weight.

11. Performs other selected unit specific procedures such as battery changes for telemetry units, checking status of unit equipment, cleaning equipment between patients and proper storage of supplies.

Assists RN/Licensed Independent Practitioner with treatments and procedures by preparing patient; obtaining and setting up equipment and supplies, such as intravenous and hemodynamic lines, and utilize sterile technique when indicated. Help in positioning the patient and providing the patient with emotional support. Clean up equipment and supplies following the treatment and/or procedure.
13. Observes, measures, records oral food and fluid intake. Sets up full strength tube feeding solutions and refills tube feeding bags as directed. Empties and records output, as approved, from a variety of sources, e.g., Foley catheter, ostomy appliances and drainage systems. Performs ostomy care on established ostomate patients as directed.
14. Answers telephone using appropriate telephone etiquette. Takes and relays messages. Utilizes intra-department communication systems, such as pagers and intercom.
15. Replenishes patient and unit supplies and equipment.
16. Keeps current with hospital and unit changes by reading communication boards and/or books, bulletin boards, posted notices and reads and responds to UMMHC e mails on a regular basis.
The PCT III must fit into one of these specialties:
Unit Secretary
Functions as unit secretary assisting with patient admissions, transfers, and discharge procedures at least 5 shifts (40 hours) every 6 months. Has administrative responsibilities including, but not limited to, maintaining logs, organizing patient care charts for admission/discharge/transfer and maintenance of medical records. Enters data or retrieves medical information from the electronic medical record systems.
Remote Video Monitoring
Continuously observes multiple patients utilizing the remote video monitoring system.

This is an exciting opportunity to lead a high-performing, multidisciplinary program dedicated to delivering exceptional pediatric trauma care while advancing quality, safety, education, performance improvement, and injury prevention initiatives.
The Pediatric Trauma Program Manager oversees the development, implementation, and continuous improvement of the pediatric trauma program. This role ensures compliance with state, regional, and national trauma standards, including American College of Surgeons verification requirements, while partnering with multidisciplinary teams to optimize patient outcomes and advance trauma care delivery.
The Program Manager serves as a clinical leader, educator, and collaborator across the continuum of pediatric trauma care. Working closely with physicians, advanced practice providers, nurses, EMS providers, hospital leadership, residents, and community partners, this individual plays a critical role in maintaining a high-performing, accredited pediatric trauma program and ensuring the highest standards of care for pediatric trauma patients and their families.
Key Responsibilities
- Provide continuity of care for trauma and general surgery pediatric patients while in-patient and followed in clinic.
- Lead the planning, implementation, and ongoing management of the pediatric trauma program.
- Ensure compliance with American College of Surgeons, state, and regulatory trauma standards and verification requirements.
- Partner with physicians, APPs, nursing leadership, EMS, and hospital administration to achieve program goals and improve patient outcomes.
- Direct the Pediatric Performance Improvement and Patient Safety (PIPS) program, including case reviews, quality monitoring, and corrective action planning.
- Analyze trauma data, outcomes, and TQIP reports to identify trends and drive evidence-based quality initiatives.
- Oversee trauma registry operations, ensuring accurate data collection, benchmarking, reporting, and regulatory submissions.
- Coordinate trauma education, competency validation, simulations, and continuing education programs for clinical staff, residents, and trainees.
- Serve as a clinical resource and mentor, promoting best practices, patient safety, family-centered care, and evidence-based pediatric trauma care.
- Lead injury prevention initiatives and collaborate with community organizations, schools, EMS agencies, and public health partners.
- Maintain readiness for trauma verification reviews and present program outcomes to leadership while fostering collaboration across multidisciplinary teams and regional trauma partners.
Key Qualifications
- Master's degree from an accredited Physician Assistant or Nurse Practitioner program.
- Current Massachusetts PA or NP license, national certification (NCCPA, AANP, or ANCC), DEA registration, and Massachusetts Controlled Substance Registration (CSR) required.
- Pediatric Advanced Life Support (PALS) certification required.

Position Purpose:

Cell Processing
1. Process minimally manipulated clinical human therapeutic cellular products by various methods using manual
and/or automated aseptic technique in a regulated clean room environment according to standard operating

Administrative:
• Assists principal investigator with protocol development.
• Assists principal investigator as appropriate with the Institute’s protocol review process.
• Assists the principal investigator in developing the protocol budget.
• Collaborates with the Dana-Farber Harvard Cancer Center DFHCC quality assurance of clinical trials office in developing protocol specific materials.
• Serves as research coordinator for National Cancer Institute, pharmaceutical-sponsored, and National Cooperative Group protocols.
Research:
• Assists with recruitment and registration of patients to clinical trials.
• Coordinates scheduling of patient’s laboratory and radiographic assessments, admissions and clinic visits.
• Monitors test results as appropriate.
• Coordinates protocol data management as necessary.
• Collaborates with staff within the Institute and with outside organizations in the completion of
clinical research trials.
Clinical:
• Coordinates study enrollment, protocol treatment, and completion of study requirements for patients participating in clinical trials.
• Works collaboratively and functions as an effective member of the health care team.
• Collaborates with Care Coordination for all patient care referrals.
• Collaborates with primary nurse in assuring that patient care needs are met.
• Provides protocol education to patients and families; adapts interactions based on age-specific needs of the patient.
• Collects and prepares required specimens for analysis and monitors test results, as appropriate.
• Documents in charts as appropriate and communicates observations and findings to protocol investigator and attending physicians.
• Provides protocol in-service training and serves as a resource to the health care team.
• Monitors the environment of care with attention to patient safety, and assures compliance with regulatory agency standards.
• Maintains clinical practice that is evidence-based and consistent with nursing policies, procedures, licensure/registration requirements, and professional scope and standards.
• Participates in QA/QI projects for the clinical program and the Division of Nursing and Patient Care Services.
• Adheres to the Code of Ethics for Nurses with Interpretive Statements (ANA, 2001) in all aspects of professional practice.
• Fosters an environment that is sensitive to the needs of diverse populations, including but not limited to culture, ethnicity, gender, and age.
• Administers medications as necessary.
• Maintains BLS certification.
Professional Development:
• Identifies areas for professional growth.
• Formulates professional goals, objectives and methods for accomplishing these.
• Pursues active membership of local and national professional organizations.
• Supports research activities within the Division of Nursing and Patient Care Services.
• Participates in Division of Nursing / Institute committees.
• Meets all annual evaluation requirements and competencies within the established time period.
• Collaborates in preparing professional reports, articles, and presentations for colleagues and the public.
Minimum Job Qualifications:
Education: Associate Degree, Nursing. Baccalaureate Degree in Nursing strongly preferred. If Associate Degree in Nursing, must complete BSN degree within 4 years. Experience: Completion of the Oncology Nurse Residency Program (ONRP) or 1 year of recent experience as a Registered Nurse. Ambulatory and/or oncology experience preferred.
License/Certification/Registration Required:
Licensed as a Registered Nurse in the Commonwealth of Massachusetts, or State of New Hampshire as appropriate required. AHA BLS required (AHA ACLS accepted as minimum requirement). Professional nursing certification preferred (OCN, BMTCN, CPHON, AOCNP, CRNI, RN-BC).
