Performs a wide range of administrative duties and coordinates a variety of complex office procedures in support of the department(s) and leadership.MINIMUM QUALIFICATIONS:

1. High school diploma or equivalent.
EXPERIENCE:
1. Two (2) years additional training or related experience OR One (1) year of secretarial training may substitute for experience.
CORE DUTIES AND RESPONSIBILITIES: The statements described here are intended to describe the general nature of work being performed by people assigned to this position. They are not intended to be constructed as an all-inclusive list of all responsibilities and duties. Other duties may be assigned.
1. Assists in coordinating activities involved in the preparation of department correspondence to facilitate on-going communications and efficient departmental operations in an accurate, neat, and timely manner as assigned.
2. Reconciles monthly budget with monthly analysis report and responsibility statements; updates cost center budget tallies; sends invoices to AP for payment; completion of purchase orders and requisitions; securing quotes for capital budget; completion of expense forms and sending to AP; and completing credit card statements and sending to Accounting.
3. Updates Policies & Procedures annually, along with all departmental information for each area..
4. Provides support to employee with forms and information updates.
5. Screens and refers incoming phone calls and department visitors to ensure that accurate and timely department communications is facilitated and that the unit is presented in a positive manner.
6. Prepares, maintains and processes proper levels of office supply inventory.
7. Maintains the schedule for the conference rooms, scheduling staff and committee meetings, conference calls, webex needs, etc. Notifies all parties of the time and place and prepares agendas and minutes as needed. Prepares monthly calendar and/or maintains appointment calendars, documenting accurate times and contacting appropriate individuals.
8. Functions as Payroll representative for the department. Coordinates all payroll and leave reports of department staff to expedite accurate and timely processing.
9. Schedules travel arrangements.

- Creates the initial electronic health record that serves as the foundation of the patient medical record that is utilized by all members of the healthcare team. Prevents creation of duplicate medical records that can cause treatment safety issues and billing problems. Follows and ensures compliance with the mandate of the organization’s accrediting bodies to use identifiers to positively identify a patient prior to the delivery of patient care to ensure patient safety.
- Checks in and registers patients; obtains and verifies complete demographic, guarantor, and insurance information; discusses and collects co-pays and other out-of-pocket patient responsibilities. Obtaining accurate information at the point of registration helps ensure timely payment to the organization and prevents billing issues and patient complaints. Maintains complete confidentiality regarding patient personal/financial information and medical records in accordance with the Health Insurance Portability and Accountability Act (HIPAA).
- Knows insurance basics and recognizes commercial and government plans. Understands which plans Advocate Health contracts with and when a statement of financial responsibility is needed. Understands and discusses financial information and obligations with patients. Knows how and when to refer patients to Financial Advocates.
- Has knowledge of which rules, forms and questions must be enforced to make sure Advocate Health remains compliant with government agencies and regulations. Examples are HIPAA, Emergency Medical Treatment and Active Labor Act (EMTALA), Consent for Treatment, Patient Rights and Responsibilities, Important Message from Medicare (IMM), Medicare Outpatient Observation Notice (MOON), Notice of Privacy Practices, Medicare Secondary Payer Questionnaire (MSPQ), Advanced Beneficiary Notice (ABN). Obtains patient or guarantor signatures as required.
- May schedule patient appointments: may also coordinate cancellations, reschedules, wait list requests, and recall requests. Provides accurate, detailed information regarding test preparations, patient arrival time, medication/food/beverage consumption guidelines, check-in procedures, directions to facility, etc.
- Creates a welcoming and professional environment for our patients and visitors by demonstrating extraordinary customer service. Greets patients and visitors and responds to routine requests for information. Answers telephone, screens calls, and takes messages. Offers various assistance to patients to include arranging transportation needs, providing directions, locating a wheelchair, coordinating interpreter services, etc.
- Monitors and works assigned electronic health record work queues, following the department’s approved process.

- Understanding of basic medical and insurance terms and abbreviations typically used in the patient scheduling and registration process.
- HIPAA-compliant and knowledgeable of applicable state and federal rules/regulations. Ability to handle sensitive and confidential information according to internal policies.
- General understanding of health insurance: Medicare, Medicaid, managed care, and commercial payers. Knowledge and ability to articulate explanations of Medicare/HIPAA/EMTALA rules and regulations and comply with updates on insurance pre-certification requirements.

- Demonstrated ability to effectively act as a resource to other staff.
Physical Requirements and Working Conditions:
- This position may require travel, therefore, will be exposed to weather and road conditions.
- Responds quickly to patient medical status and emergency situations occurring in clerical areas.
- CPR certification may be required based on service location.
- Notary training/licensure may be required as appropriate for service line and/or facility.
- Operates all equipment necessary to perform the job.
- Exposed to a normal office environment with significant patient and public contact. May be exposed to ill or contagious patients.
- Must be able to transition from sitting to standing frequently. Must be able to stand and sit for extended periods of time and be physically mobile throughout the workday.
- Frequently lifts to 10 lbs. and occasionally lifts 20 lbs. or more. Must be able to push/pull up to 50 lbs. with assistance. Occurs when moving equipment, supplies and/or when transporting patients through doorways, ramps and elevators.
- Escorts patients to nursing units or outpatient departments as necessary.
- Sensory requirements include vision, hearing and touch. Must also be able to speak clearly.
- Must be able to use hands with fine motor skills for keyboard data entry.
- May be asked to work a flexible schedule at times to meet the needs of the department.

The (3W) Observation/Medical Stroke Med Surg Unit is an exciting fast-paced 21 bed unit located on the 3rd floor of Gottlieb Memorial Hospital. All rooms are private and are centrally monitored if clinically indicated. To work in the Observation Unit, our nurses need strong assessment skills, the ability to think critically and adapt to new challenges, along with strong communication skills to care for our patient population and work with our interdisciplinary teams. As an Observation unit we are dedicated to our patients by providing quality care with attention to clinical expertise, evidence-based practices, patient safety and positive outcomes.
Our patient population includes but is not limited to care of the adult patient with a variety of medical diagnoses of the neurological stroke, infectious disease, other medical conditions, and some cardiac conditions. Patients on our unit may have an average length of stay of 48 hours to four days. We utilize an interdisciplinary team approach along the continuum of care in an effort to provide balance for the physical, emotional, mental, and spiritual needs for every patient and their family.

A patient access ambassador is instrumental in ensuring a positive experience for patients using our self-service tablet check-in process. Customer service is a vital part of this role employees must continually create a positive environment for patients and family. An Ambassador would be expected to be interactive with patients with introducing new technology.
Other responsibilities may include registering patients, gathering appropriate demographic and insurance information verification, scheduling appointments, providing patients with financial information, price estimates, and the collection and entry of payments. Current knowledge of billing and coding requirements and ability to apply these based on industry standards is required. Ability to resolve financial issues and negotiate payment arrangements. Representatives must fully understand the ramifications and impact of incomplete or inaccurate information to patient care and overall revenue cycle employees providing direct patient care must demonstrate competencies specific to population served
Ambassador Responsibilities:
- This position may require standing &/or walking for up to a consecutive 4-hour period, per day.

Daily duties include by not limited to:
- At the beginning of shift, bring up the welcome concierge application on the support workstation so you have it to troubleshoot issues if needed.
- Continuously monitor the kiosk concierge throughout the day to ensure all patients successfully check in.
- Stand near the entrance and warmly greet patients as they arrive to the building. Promoter should encourage patients to use the tablets in the arrival areas.
- Assist with wayfinding directions to patient appointments.
- Assist patients who have visual impairments to a desk.
- Assist patients with mobility issues to take the tablet with them to a chair or guide them to the desk area. Move the chair out of the way to offer additional space.
- The ambassador should also inform patients about the locations of other Welcome tablets in the building/locations for future visits.
- Stay near/available to the tablets even if there isn't someone actively using them. Only sit down at the support workstation if needed to assist a patient or if there is a very slow period in the day.
- Watch patients using the tablets and reach out to them if they are struggling. Ensure that they finish the entire workflow and complete the check-in.
- If a patient fails at the tablet, guide them over to the support workstation so you can complete the check-in. If possible, let them know what the issue was so they feel more encouraged to try the tablet again in the future.
Helping patients use the tablet:
- Ask the individual if they have an appointment that day or if they have a walk-in service.
- Patients can use the tablet for arrival if they meet the following criteria:They do not have a paper order.They can pay any applicable copays with a credit card.
- Here is an example script:
“Welcome to Bronson. What services are you arriving for today? I can assist you with using our tablets to check in for your visit.”
- Assist patients with the check in process. Any additional questionnaires?Advise patients if they schedule and e-check in the arrival process is much quickerAdd patient to patient flow, provide pager where applicableReview and link orders as applicable
- Direct patients to the appropriate waiting area for their visit.
Extra responsibilities
- Ensure signage is clear and appropriate.
- Clean the tablets.
- Train new sites on standard work for tablet implementationThe tablet(s) should be wiped down using CaviWipes in the following intervals:Once every hour for sites that have at 5 or more patients checking in per hour on the tablet.Twice per day at locations that have less than 5 patients check in per hour.Gloves must be used when using CaviWipes.Please ensure that the touchscreen, E-Signature pen, and tablet surface that patients regularly touch is cleaned thoroughly.Please use discretion when cleaning, often one CaviWipe can work for multiple tablets as long as it is still coating the surface.Please allow for at least a minute after cleaning a tablet to allow for the surface to dry before allowing a patient to use it.If you notice any discoloration or warping of the kiosk after wiping down the tablet please stop using CaviWipes and submit a ServiceNow ticket to the HL Prelude team immediately and we will review.
- Submit IT tickets immediately whenever the tablets are down, need or improvement is identified, or there is equipment failure.

Job Summary:
A Patient Care Tech (PCT) at ProMedica plays a vital role in the health and safety of our patients every day. From caring for patients to performing clerical services, a PCT helps all members of the ProMedica health care team while complying with standards, procedures, and policies. A PCT is a genuine ambassador for ProMedica as they interact with patients, visitors, and co-workers.
The PCT assists the patient care team with exams, procedures, obtaining patient data and other processes related to direct patient care. The PCT also ensures an appropriate stock of supplies and equipment is available and functioning properly.
In this role, you will perform tasks related to scheduling procedures, coordinating admission as well as discharge and transfer processes. PCTs answer phones, take messages, and direct calls. You will also pick up and deliver specimens, documents, and other items to contribute to operational efficiency.

ACCOUNTABILITIES

- Maintains established standards of patient care and policies and procedures of ProMedica Monroe Regional Hospital and the nursing department.
- Answers call lights, ensure patient’s needs, acts upon routine requests, or relays information to the proper person.
- Assists patients with or provides personal hygiene care and other routine services patients requiring assistance such as bathing, dressing, shaving, offering, and removing bed pans, and so forth.
- Serves patients with food trays and snacks and removes trays. Assists feeding patients if necessary.
- May obtain and record patient’s vital signs including temperatures, pulse, respirations, and blood pressure readings, patient’s intake and output glucometer checks, patient weights, and other routine pertinent information. Observes patients’ conditions and medical equipment or apparatus reporting all unusual conditions or reactions to the appropriate nursing personnel. May assist nurses and physicians with patient examinations. Initiates and discontinues telemetry monitoring while maintaining a knowledge of the telemetry transmitter (i.e., changing patches, changing batteries).
- Performs rounding in assigned rooms every other hour on patient to determine need for restroom, position change, possessions, and need for additional nursing care. Tidies patients’ rooms, changes bed linens, empties medical apparatus of patient discharges, and performs routine cleaning tasks on the nursing unit, as necessary.
- Assists in admitting patients to the nursing unit, obtaining necessary or specialized supplies or equipment, explaining hospital routines, policies and so forth. Ambulates or assists in the ambulation of patients; assists in lifting patients in order to transfer them to and from wheelchair or wheeled beds; assists patients in walking; and transports patients to other areas of the hospital.
- Assists and maintains participation in performance improvement and customer service improvement activities for patient care. Attends department meetings. Assists with the orientation of new personnel.
REQUIREMENTS
- Education: High school graduate or equivalent.
- Skills: The ability to perform routine patient care functions such as baths, taking temperatures, pulse and respiration and blood pressure. One to four weeks of on-the-job training at ProMedica Monroe Regional Hospital in order to become familiar with job responsibilities and duties, the work area, and policies and procedures. Must be able to follow routine written and/or verbal instructions. Must have interpersonal skills required to communicate effectively with patients of the following ages: Pediatric (8-12 years); adolescent (13-17 years); adult (18-64 years); and geriatric (64 years and above); physicians, other hospital personnel as needed to promote quality patient care. Due to continuously changing patient census/activity and staffing needs, must have the flexibility to work a varying schedule should the need arise, which may require working a varying shift, overtime (greater than 40 hours per week) and/or shift durations that exceed the assigned status for shift length and/or hours per week.
- License: Current Cardiopulmonary Resuscitation (CPR) certification with Basic Cardiac Life Support (BCLS)

CORE FUNCTIONS

2. Verifies insurance eligibility benefits for services rendered with the payors and documents appropriately. Assists in obtaining or validating pre-certification, referrals, and authorizations
3. Calculates and collects patient liability according to verification of insurance benefits and expected reimbursement. Explains and provides financial policies and available resources for alternative payment arrangements to patients and their families.
4. Enters payments/charges for services rendered and performs daily payment/charge reconciliation in a timely and accurate manner. Balances cash drawer at the beginning and end of the day and prepares daily bank deposit with necessary paperwork sent to centralized billing for record purposes.
5. Schedules office visits and procedures within the medical practice(s) and external practices as necessary. Maximizes reimbursement by scheduling patients in accordance with payor plan provisions. Confirms patient appointments for the following day as necessary and ensures patients are properly prepared for visits.
6. Demonstrates proactive interpersonal communications skills while dealing with patient concerns through telephone calls, emails and in-person conversations. Optimizes patient flow by using effective customer service/communication skills by communicating to internal and external customers, care team, management, centralized services and HIMS.
7. Assists in responding to requests for patient medical records according to company policies and procedures, and state and federal laws.
8. Provides a variety of patient services to assist in patient flow including but not limited to escorting patients, taking vitals and patient history, assisting in patient treatment, distributing mail and fax information, ordering supplies, etc.
9. Works independently under regular supervision and follows structured work routines. Works in a fast paced, multi-task environment with high volume and immediacy needs requiring independent decision making and sound judgment to prioritize work and ensure appropriateness and timeliness of each patient’s care. 3. Accurately and safely administers intramuscular, subcutaneous, and oral medications as ordered.
4. Consults with the Provider or Registered Nurse to seek guidance in delivery of nursing care, as necessary.
5. Obtains instruction and supervision as necessary from the Provider or Registered Nurse when implementing nursing technique or practices.
6. Performs designated therapeutic procedures to patients as needed.
7. Accurately observes, records and reports to the Provider, all patient concerns, symptoms, reactions and progress in a timely manner.
8. Assists Providers and the Registered Nurse with examinations and procedures, as assigned.
9. Utilizes available supplies in a cost-effective manner to help contain patient costs.
10. Provide emotional support to patients and/or families.
11. Participate in problem solving and decision making in the outpatient unit. Act to ensure staffing and patient needs are met.
12. Obtain medical information from patients. Take height, weight, blood pressure, and vital signs of the patient. Screen patient for chief complaint and pertinent health data. Record data gathered in patient’s medical record and communicate data gathered to physician.
13. Works closely with office assistant and physician to facilitate patient's clinic visit. Ensure patient's chart is available. Escort patients to and from exam room. Assist with scheduling when necessary.
