Reporting to the Practice Manager and working under the guidance of the Lead Clinic Coordinator, this mission critical position is responsible for the following:
Appointment Scheduling:
- Accurately schedules complex appointment sets across disciplines for oncology patients in accordance with scheduling guidelines
- Monitors scheduling reports to ensure accuracy in patient scheduling and to ensure optimization of resource utilization
- Maintains confidentiality of Protected Health Information (PHI)
- Possesses strategic thinking skills, the ability to learn rapidly, multi-task, and adapt quickly to an ever-changing environment.
- Participates in training new team members as requested
Patient Experience:
- Delivers outstanding customer service to internal and external customers
- Timely, accurately and curiously responds to the needs of internal and external customers
- Ability to deescalate patient grievances, and maintain customer service standards, and involve floor leadership as necessary
Communication and Collaboration:
- Demonstrates ability to effectively communicate across leadership levels and with varying audiences
- Synthesizes and communicates complex information in patient friendly terms
- Obtains detailed scheduling information face-to-face, by telephone, or electronically while performing check-in and check-out functions – i.e. triaging phone calls, double identifying patients, printing appropriate paperwork, coordinating complex schedules; acquiring and entering verbal orders
- Works effectively as a member of the team and across functional teams
- Fosters a sense of shared responsibility among the team
Emergency Response:
- Recognizes emergencies and appropriately responds using standard operating procedures
Regulatory Compliance and Quality Improvement:
- Compliance with DFCI policies and procedures
- Understanding their role and responsibility in obtaining successful Joint Commission accreditation
- HIPPA regulation compliance
- Completion of assigned AEU and Health Stream competencies
- Executes registration related processes including: Partners Patient Gateway Enrollment, MASS HiWay, Medicare Secondary Patient Questionnaire (MSPQ), Massachusetts Medical Orders for Life-Sustaining Treatment (MOLST), and Release of Patient Information.
- Actively participates and provides constructive feedback on quality improvement projects
Information Technology:
- Maintains a level of competency in all systems including: Epic, Real Time Locating System (RTLS), Outlook
- Actively engaged in system upgrades and effected operational changes
- Distribution, maintenance, after-use cleaning, and technical troubleshooting issues of patient-use iPads
MINIMUM JOB QUALIFICATIONS:
- Bachelor’s degree preferred. Experience working in a customer service setting preferred.
- Proficiency in technology and complex computer systems required.

Primary Duties and Responsibilities
- Carries out and/or leads monitoring efforts and populates dashboard and key indicator data sets.
- Develops, supports, and/or leads quality improvement initiatives; develops approaches to linking quality improvement to outcomes reported through dashboard or key indicator data or surveys and observation studies.
- Reviews documentation and assesses effectiveness of documentation review approaches; analyzes causes and develops solutions for documentation failures.
- Develops and carries out complex or qualification audits requiring content and operational knowledge of activity being audited to ensure compliance against standards, regulations, procedures and policies.
- Performs outcome analysis, including reviewing, interpreting, and reporting relevant information as assigned and presenting to physicians, investigators, leadership, or other stakeholders.
- Prepares teams for external audits and inspections. Performs readiness checks, compiles evidence, and drafts responses.
- Maintains employee records of training and credentialing as required by unit activity assigned and associated regulatory standards.
- Routes and revises controlled documents; prepares fillable forms, maintain records, and archives per retention requirements.
- Assists with correction and preventative action (CAPA) plans based on audit findings, deviations and events. Plans follow up audits to assess if the desired effect / change was achieved.
- Assists QA Manager in providing training, support, and supervision to QI-I staff.
- Provides training and support to relevant staff and clinicians in areas of expertise.
Knowledge, Skills and Abilities
- Strong knowledge of applicable standards and regulations to ensure department/institution ongoing compliance with accreditation standards and inspection regulations.
- Subject matter expertise (e.g., donor services, data management, informatics, clinical operations, or other assigned program areas) to help the department/program achieve its stated objectives and goals for overall improvement.
- Strong Excel skills.
- Knowledge of medical, hematologic, oncologic, and scientific terminology preferred.
- Ability to compile data and analyze using statistical tools.
- Ability to understand the enterprise environment and competing priorities in conjunction with developing/meeting project goals.

Minimum Job Qualifications

- 4 years of experience in related field (cell therapies, clinical laboratory, research, clinical setting, biologic/pharma industry or similar) required.
- 2 years of quality assurance or advanced cell therapy experience (e.g., trainer, lead, senior or equivalent) in another area of specialization required.

Ventures Board: Works closely with the Chief of Staff and is responsible for coordination of the yearly calendar, distributing the quarterly board package, and presentations as needed.

8. Performs EKG’s, performs Point of Care (POC) tests and bladder scanning according to hospital standards. Collects, labels and prepares specimens for transport to lab.
9. Phlebotomy in certain locations.
10. Performs other selected unit specific procedures such as battery changes for telemetry units, checking status of unit equipment, cleaning equipment between patients and proper storage of supplies.
11. Assists RN/Licensed Independent Practitioner with treatments and procedures by preparing patient; obtaining and setting up equipment and supplies, such as intravenous and hemodynamic lines, and utilize sterile technique when indicated. Help in positioning the patient and providing the patient with emotional support. Clean up equipment and supplies following the treatment and/or procedure.
12. Observes, measures, records oral food and fluid intake. Sets up full strength tube feeding solutions and refills tube feeding bags as directed. Empties and records output, as approved, from a variety of sources, e.g., Foley catheter, ostomy appliances and drainage systems. Performs ostomy care on established ostomate patients as directed.
13. Demonstrates sensitivity and responsiveness to patients’ needs by acting as a source of information and approaches all interactions with the intention of building positive rapport and relationships.
14. Provides respectful, culturally and age-appropriate communication with patients, staff, family, visitors and others.
15. Replenishes patient and unit supplies and equipment.
16. Requests assistance from identified resources when more direction is needed.
17. Keeps current with hospital and unit changes by reading communication boards and/or books, bulletin boards, posted notices and reads and responds to UMMHC e mails on a regular basis.

Provides crisis evaluations for patients in the Psychiatric Service both on and off site, for young children, adults and geriatric patients. Utilizes the language of the current DSM V to establish comprehensive diagnostic evaluations and subsequent planning and treatment. Works with patients and their families, including treatment planning implementation, group and individual therapy, and coordinates community services and discharge planning. Under the direct supervision of a pharmacy supervisor and pharmacist is responsible for performing daily operations within the pharmacy. Performs medication related tasks such as packaging, preparation of all forms of medications, record keeping, and all aspects of drug distribution.Major Responsibilities:
- Responsible for the day to day operations within the Outpatient Pharmacy.
- Assists in UMMMC Meds to Beds prescription intake and delivery and documents appropriately on patient medical record and pharmacy tracking report.
- Responds accurately and timely to provider inquiries about discharge prescriptions and documents accordingly on patient medical record.
- Processes prescriptions through pharmacy computer system.
- Maintains inventory by conducting daily cycle counts, receiving the order, and removing outdated items from active stock.
- Interacts with providers and provider staff to receive and clarify orders.
- Interacts with patients to update them on out of stock, insurance, or other emergent issues.
- Maintains required prescription records as necessary in accordance with regulatory and hospital requirements.
- Enters new prescriptions and refills into the computer system.
- Resolves common adjudication issues and troubleshoots with insurance when necessary.
- Answers doctor and patient telephone calls.
- Appropriately fills and maintains prescription dispensing robot.
- Dispenses prescriptions through point of sale after verifying two patient identifiers.
- Maintains a clean work area and assists in quality indicator monitoring.
- Assists with yearly inventory in assigned areas.
- Participates in identifying problems or areas for improvement and assists supervisor with problem solving projects and improving operations; participates in Continuous Quality Improvement activities and/or teams.

I. Major Responsibilities:
1. Provides clear, timely communication to the RN regarding observations and changes seen in patients. Examples, but not limited to changes in skin condition, vital signs, and/or mental status.
2. Provides constant observation of high-risk patients as assigned by the Resource Nurse or designee.
3. Participates in the development and maintenance of a safe environment. Works to utilize interventions to de-escalate patients and if unsuccessful participates in restraints in accordance with training and education as directed.
4. Assists patient with daily living activities such as personal hygiene, ambulating, meals and nourishment.

Job Title: Patient Care Technician II
Job Profile Summary:
Under the direction of the appropriate licensed clinician, and in keeping with unit specific standards, provides patient care to meet the personal needs and comfort of patients; and assists members of the healthcare team. In order to become a PCT II a caregiver must meet the full competencies outlined by the Nursing Professional Practice.
As an integral member of the patient care team, serves both internal and external customers including patients, nurses, physicians and other colleagues who support the delivery of care and services.
I. Major Responsibilities:
1. Provides clear, timely communication to the RN regarding observations and changes seen in patients. Examples, but not limited to changes in skin condition, vital signs, and/or mental status.
2. Provides constant observation of high-risk patients as assigned by the Resource Nurse or designee.
3. Participates in the development and maintenance of a safe environment. Works to utilize interventions to de-escalate patients and if unsuccessful participates in restraints in accordance with training and education as directed.
4. Assists patient with daily living activities such as personal hygiene, ambulating, meals and nourishment.
5. Assists in moving, lifting, positioning and transporting patients by utilizing proper safety techniques and body mechanics in all work-related activities.
6. Maintains patient safety by performing patient safety checks, utilizing fall prevention alternative devices/strategies as directed, and following the Restraint Policy standards when caring for a restrained patient.
7. Takes and records vital signs (temperature, pulse, respirations, blood pressure and pulse oxymetry). Measures and records patients’ height and weight.
8. Performs EKG’s, performs Point of Care (POC) tests and bladder scanning according to hospital standards. Collects, labels and prepares specimens for transport to lab.
9. Phlebotomy in certain locations.
10. Performs other selected unit specific procedures such as battery changes for telemetry units, checking status of unit equipment, cleaning equipment between patients and proper storage of supplies.
11. Assists RN/Licensed Independent Practitioner with treatments and procedures by preparing patient; obtaining and setting up equipment and supplies, such as intravenous and hemodynamic lines, and utilize sterile technique when indicated. Help in positioning the patient and providing the patient with emotional support. Clean up equipment and supplies following the treatment and/or procedure.
12. Observes, measures, records oral food and fluid intake. Sets up full strength tube feeding solutions and refills tube feeding bags as directed. Empties and records output, as approved, from a variety of sources, e.g., Foley catheter, ostomy appliances and drainage systems. Performs ostomy care on established ostomate patients as directed.
13. Demonstrates sensitivity and responsiveness to patients’ needs by acting as a source of information and approaches all interactions with the intention of building positive rapport and relationships.
14. Provides respectful, culturally and age-appropriate communication with patients, staff, family, visitors and others.
15. Replenishes patient and unit supplies and equipment.
16. Requests assistance from identified resources when more direction is needed.
17. Keeps current with hospital and unit changes by reading communication boards and/or books, bulletin boards, posted notices and reads and responds to UMMHC e mails on a regular basis.
18. Has the ability to precept new Patient Care Technicians.
