Overview
As a Patient Care Specialist with Sentara Healthcare, you will provide non-clinical support within a physician's office and ensure an excellent patient experience by performing a variety of complex administrative tasks to support patient care delivery. Primary duties include answering phones, scheduling appointments, and answering patient questions. Laboratory Operations
- Implements, maintains, and improves standard procedures to enhance laboratory efficiency.
- Monitors the work of research staff to ensure adherence to good laboratory practices.
- Maintains inventory and manages the ordering of laboratory supplies (e.g., flow antibodies, restriction enzymes, proteins, plasmids, DNA, etc.).
- Ensures the proper use, maintenance, and repair of laboratory equipment.
- Serves as the Laboratory Safety Officer.
- As applicable, efficiently manages mouse colonies through the proper allocation of technical support resources in response to scientific needs, in consultation with the Scientific Program Manager.
Scientific Operations
- Assists the Principal Investigator (PI) in monitoring, enabling, and facilitating collaborations with other programs.
- Actively contributes to research projects, as appropriate.
- May assist with data entry and quality control.
- Maintains Weeks Lab clinical, genomic, and epidemiologic databases.
Administrative Responsibilities
- Monitors laboratory expenditures.
- Ensures all laboratory staff remain compliant with DFCI, NIH, and sponsor-mandated training requirements.
Staff Supervision and Support
- Assists the PI with counseling, teaching, training, mentoring, orientation, in-service education, and continuing education for laboratory staff and trainees.
- Supervises research staff, including technicians, specialists, and trainees.
- Hires, develops, and manages staff to achieve organizational goals.
- Sets clear expectations, provides feedback, and monitors staff performance for quality, efficiency, and compliance with policies and procedures.
- Mentors staff, supports career development, and foster a positive and productive work environment.

The Onboarding Coordinator works collaboratively with Talent Acquisition, Occupational Health Services, and the many Hiring Managers across the institute to ensure a smooth onboarding process and warm welcome for incoming staff.

PRIMARY DUTIES AND RESPONSIBILITIES:
- Onboarding of all DFCI paid staff and sponsored staff
- Communicates with Hiring Managers and candidates throughout the onboarding process
- Coordinate occupational health clearance for new staff
- May assist to ensure collection and administration of all paperwork in compliance with Federal and State laws
- Administer background screen and all other new hire paperwork as needed
- Provide back up support for in person NHO check in process
- May provide back up support for the Cori Adverse Action Process
- May assist to ensure PHF's are approved by the deadline date
- Liaison between managers and outside vendors, as needed, related to onboarding of staff
- Problem solves onboarding issues as they arise
- Ensures onboarding requests are compliant
- Troubleshoot HealthStream access issues for new hires and escalate to the appropriate HR/IS party
- Front Desk Reception back up as needed
- Partners with HR Immigration regarding staff who require visa sponsorship
- Provides backup for other members of the onboarding team as needed
- All other duties as assigned
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
- Familiarity with state and federal employment/labor laws and practices helpful
- Proficiency with Microsoft Office required
- Experience working with an Applicant Tracking System strongly preferred
- PeopleSoft experience strongly preferred
- Must be extremely organized, detail oriented, and possess the ability to work in a fast paced, high volume environment

Primary Duties and Responsibilities
- Provide nursing informatics support to Epic governance, help guide workflow design, clinical content, build priorities, and future development to align with nursing practice, regulations, and operational goals.
- Collaborate with Epic leadership, analysts, and nursing stakeholders to analyze workflows, gather requirements, and support safe, efficient, standardized Epic solutions.
- Represent nursing on specialized and cross-functional workgroups and committees, advocating for nursing interests and identifying opportunities to improve usability, safety, and quality.

The Patient Financial Counselor serves as point of contact for patients for financial matters related to access to services and engagement throughout their financial experience at Dana-Farber Cancer Institute (DFCI).
Reporting to and with direction from the Access & Financial Engagement Supervisor, the Patient Financial Counselor is responsible for ensuring complete and accurate patient registrations, answering general insurance coverage questions, providing clear and accurate financial information and options, assisting patients with applying for MassHealth, selecting plans, preparing self-pay estimates, and collecting deposits and payments.
This role requires a commitment to service excellence, the ability to work in a fast-paced environment, and a knowledge of the overall financial policies and procedures at DFCI.

With direct supervision, the Patient Financial Counselor:
- Conducts registration interviews to collect or update patient demographic, as well as financial, and relevant personal information ensuring its accuracy and integrity.
- Verifies insurance eligibility and benefits using automated eligibility systems, payer websites, or by calling the insurance carriers and determines if any authorization requirements exist.
- Ensures Privacy Policy Acknowledgement and required consent forms are signed/acknowledged.
- Confirms patients are financially cleared or escalates patients to the Financial Clearance team for further review as needed.
- Supports DFCI initiates such as patient itinerary, RTLS badging, and requests for copy of medical records.
- Learns and understand MassHealth/ Health Connector application, eligibility, and enrollment processes by completing the MassHealth Certified Application Counselor (CAC) online training and maintains certification by completing ongoing training offered by MassHealth or the Health Connector.
- Assist patients in applying for and selecting a MassHealth plan for those who have been identified as uninsured or underinsured, both proactively and by providers and other teams within the Institute.
- Prepares self-pay estimates based on upcoming scheduled services at DFCI and collects deposits or payments as needed.
- Accurately and courteously explain Advanced Beneficiary Notices/Waivers and obtain patients signature and collects any required deposit/payment.
- Accurately and courteously explain policies regarding financial assistance programs and assist patients/families in the completion of applications.
- Answers phone and email inquiries from patients and other DFCI staff referring patients with registration updates and financial inquiries; answers or resolves inquiries whenever possible or refers to the appropriate team.

1. Provides clear, timely communication to the RN regarding observations and changes seen in patients. Examples, but not limited to changes in skin condition, vital signs, and/or mental status.
2. Provides constant observation of high-risk patients as assigned by the Resource Nurse or designee.
3. Participates in the development and maintenance of a safe environment. Works to utilize interventions to de-escalate patients and if unsuccessful participates in restraints in accordance with training and education as directed.
4. Assists patient with daily living activities such as personal hygiene, ambulating, meals and nourishment.
5. Assists in moving, lifting, positioning, and transporting patients by utilizing proper safety techniques and body mechanics in all work-related activities.
6. Maintains patient safety by performing patient safety checks, utilizing fall prevention alternative devices/strategies as directed, and following the Restraint Policy standards when caring for a restrained patient.

13. Observes, measures, records oral food and fluid intake. Sets up full strength tube feeding solutions and refills tube feeding bags as directed. Empties and records output, as approved, from a variety of sources, e.g., Foley catheter, ostomy appliances and drainage systems. Performs ostomy care on established ostomate patients as directed.
14. Answers telephone using appropriate telephone etiquette. Takes and relays messages. Utilizes intra-department communication systems, such as pagers and intercom.
15. Replenishes patient and unit supplies and equipment.
16. Keeps current with hospital and unit changes by reading communication boards and/or books, bulletin boards, posted notices and reads and responds to UMMHC e mails on a regular basis.

Unit Secretary
Functions as unit secretary assisting with patient admissions, transfers, and discharge procedures at least 5 shifts (40 hours) every 6 months. Has administrative responsibilities including, but not limited to, maintaining logs, organizing patient care charts for admission/discharge/transfer and maintenance of medical records. Enters data or retrieves medical information from the electronic medical record systems.

Primary Duties and Responsibilities

I. Major Responsibilities:

10. Performs other selected unit specific procedures such as battery changes for telemetry units, checking status of unit equipment, cleaning equipment between patients and proper storage of supplies.

Assists RN/Licensed Independent Practitioner with treatments and procedures by preparing patient; obtaining and setting up equipment and supplies, such as intravenous and hemodynamic lines, and utilize sterile technique when indicated. Help in positioning the patient and providing the patient with emotional support. Clean up equipment and supplies following the treatment and/or procedure.
12. Observes, measures, records oral food and fluid intake. Sets up full strength tube feeding solutions and refills tube feeding bags as directed. Empties and records output, as approved, from a variety of sources, e.g., Foley catheter, ostomy appliances and drainage systems. Performs ostomy care on established ostomate patients as directed.

II. Position Qualifications:
License/Certification/Education:
Required:
1. Minimum of a high school education or GED.
2. Current Basic Life Support.
Experience/Skills:
Required:
1. Demonstrated competency attainment in the Patient Care Technician I level, work a minimum of 800 hours and at least 6 months as a PCA I.
2. Prior inpatient/outpatient care experience or clinical care training.
3. Ability to read, write and communicate in English in a clear and concise manner.
4. Medical Terminology.
5. Computer skills.
6. Strong interpersonal skills to gather information from individuals, build relationships that support collaborative work within the department and across the organization and provide exceptional service to patients.
7. Must have proven problem-solving abilities for routine situations.
8. Must be able to remain calm when under stress or in emergency situations.
Unless certification, licensure or registration is required, an equivalent combination of education and experience which provides proficiency in the areas of responsibility listed in this description may be substituted for the above requirements.
Department-specific competencies and their measurements will be developed and maintained in the individual departments. The competencies will be maintained and attached to the departmental job description. Responsible managers will review competencies with position incumbents.
III. Physical Demands and Environmental Conditions:
Position requires work indoors in a patient care environment.
Hand dexterity, hearing and vision ability to take direction from a patient or provider, adjust equipment, observe and describe patient observations. Must be able to lift, up to 50 pounds. Work is of heavy demand, standing and walking most of the time with the possibility of pushing heavy equipment and bending frequently.
