Surgical Oncology & Endocrine SurgeryJob Summary:
In your pivotal role as Clinical/Translational Research Coordinator III in the Kamran Idrees Lab, you will independently coordinate and manage the start-up, conduct, and closeout of clinical/translational research studies focused on histotripsy—an innovative, noninvasive focused ultrasound technology that mechanically destroys targeted tissue without surgery, radiation, or heat-based ablation. You will help ensure scientific integrity, participant safety, and full compliance with institutional policies, Good Clinical Practice (GCP), and sponsor/regulatory requirements. You will lead day-to-day study operations such as regulatory documentation and audit readiness; accurate and timely data collection with query resolution; clinical biorepository and specimen lifecycle management (processing, inventory, multi-site tracking, and compliant shipping); study budgets and invoicing oversight; and continuous process improvement driven by defined performance metrics—serving as a primary liaison among investigators, sponsors, research staff, and participants.REQUIRED:

DEPARTMENT SUMMARY:
The Vanderbilt Division of Surgical Oncology and Endocrine Surgery, a part of the Vanderbilt Department of Surgery, has quickly become a national leader in comprehensive surgical care. Our emphasis is placed on the evaluation and treatment of patients with benign and malignant tissue disorders.
We use a multidisciplinary approach to patient care and work closely to coordinate our efforts with the Divisions of Radiation Oncology, Medical Oncology, Gynecologic Oncology, Hematology, Surgical Pathology, Radiology and other disciplines. KEY RESPONSIBILITIES
- Responsibilities for management of a clinical biorepository, including obtaining patient consent, tracking patient follow-up visits, processing fresh specimens, maintaining specimen inventory and storage, and updating biorepository, study, and registry databases.
- Accurately and compliantly prepares and maintains documents required to be maintained internally and available for regulatory authorities and/or the sponsor prior to, during and after the conduct of a clinical/translational trial. Participates in periodic site visits from sponsor, regulatory authorities and others to review research, source documentation and research procedures. Participates in data quality assurance reviews.
- Utilizes coordination skills to complete all research protocols, including patient recruitment, screening, scheduling and organizing of study visits, enrollment, assessments, interviews, laboratory and diagnostic studies, medication tracking and other protocol specific investigational procedures
- Identifies and procures equipment and supplies needed to fulfill project requirements (locally and across multiple sites, if required)
- Records data from source documentation and/or participant interaction onto case report forms (either paper or electronic) with awareness and attention to the requirements for accuracy, completeness and timeliness. Assures research information is collected and stored in a manner that is compliant with regulations/policies and good clinical practice. Attends to query resolution in a timely manner. - Receives and tracks receipt and status of study specimens from multiple sites. Performs packaging and ships study specimens (blood, urine, etc.) to the sponsor or laboratory in accordance with sponsor and shipping guidelines and regulations, maintaining appropriate documentation
- Responsible for study completion processes including data lock, study closeout, reporting and archiving of study files, ensuring completeness and continuity of all study data, performing ongoing checks of clinical/translational data that has been entered on the case report forms (paper or electronic) or in reports and assuring archival of appropriate/required documentation
- With department administration, develops and manages study budgets, monitoring efficient invoicing and taking appropriate action to maintain clinical trial billing compliance, providing reports to investigators, department administration and funding agencies
- Serves as an advocate for human subjects by establishing and maintaining communication with Investigators, research staff, Sponsors, participants and representatives of professional organizations, participant advocates, and public responsible for, or concerned about, protections for human participants of research and through ongoing monitoring of trial processes and participants. With guidance, assesses and evaluates potential participants pertinent medical and historical information.
- Assesses for and implements process improvement initiatives within a clinical/translational trial and a department to assure research quality, and expedient completion of recruitment, timely receipt of research related payments and cost savings and expedient study reporting
- Defines and uses metrics to drive performance improvement. Shares metrics with investigators and administrators to demonstrate areas in need of improvement and tracks metrics to demonstrate effectiveness of improved processes

SHIFT: The person hired into this position will work three 12-hour shifts per week from 7a - 7p for a total of 36 hours per week, to include some weekends. This position will also require two call shifts in a six-week scheduling period
Join the brand-new Acute Surgical Care unit coming to 10N, a 31-bed stepdown unit offering a unique opportunity to help build a new team from the ground up. Nurses will provide a stepdown level of care to adult patients either awaiting surgery or recovering post-operatively. The unit features a collaborative, team-oriented atmosphere.
Please note this is inpatient/bedside position.

Leadership
- Establish the mission, strategic plan, operational/programmatic plans, and practices for the PCC.
- Lead activities related to performance, improvement, and risk management programs to establish and meet clinical quality goals, effective cost management, patient satisfaction, and business goals.
- Participate in the planning, implementation, and evaluation of clinical programs and services, assuring appropriate resources for the delivery of care.
- Build and maintain key strategic partnerships, both internally across VUMC and within the marketplace, that facilitate the achievement of goals and objectives.
Operations
- Work within a matrix relationship with leaders to oversee operations of the PCC and collaborate with core service leadership in the management of clinical core functions (i.e., lab, pharmacy, transport, etc.).
- Identify significant disease conditions relevant to the PCC; Specifically engineer measurable clinical processes and establish appropriate clinical pathways across the continuum and implement cost improvement initiatives to improve value to the patient in the management of the specific disease conditions.
- Demonstrate a high level of knowledge of the patient population served and of the requirements for delivery of services.
- As assigned, represents VUMC in various meetings and organizations where VUMC maintains membership.
- Design, implement, evaluate, and market programs to maximize clinical outcomes, functional status, patient/customer satisfaction, and reimbursement.
- Lead and provide feedback to direct reports with full responsibility for planning, coordinating, and controlling the work procedures; analyze and evaluate ongoing department programs to identify areas where adjustments/improvements are needed; provide advice/consultation to others regarding problems.
- Lead the transition of care initiatives in the PCC, with a focus on top disease conditions.
- Define criteria related to the selection and acquisition of equipment, outside vendors, supplies, and support services, subject to the final approval process.

- Support, promote, and integrate research activities in accordance with the Division, Department, or VUMC goals.

- Growth and Business Development
- Develop and coordinate the strategic growth objectives for the PCC to meet the mission for VUMC.
- Responsible for crafting operational plans to achieve target performance and growth.
- Evaluate changing demographic, legal, and technical developments in the field and initiate new or enhanced programs responsive to such needs.
- Engage the medical staff, employees, and community to seek innovative program enhancements that benefit the community and the financial health of the PCC.
Finance
- Reduce operational costs and increase revenues based on knowledge of market trends, operating procedures, and reimbursement matters.
- Participate in the preparation of the annual operating budget, including direct labor, material and supplies, services, equipment maintenance, and replacement.

- Evaluate organizational functions and structures to best determine the allocation and utilization of resources.

- Review PCC performance in relation to established goals, implementing changes to effect continual improvement in the services provided.

- Monitor patient satisfaction scores for the PCC and collaborate with other leaders to develop and implement action plans to address issues.

Qualifications – External:
- Master’s Degree and 10 years of experience.

The Clinical Staff Leader is responsible for overseeing the delivery of safe and effective patient care within the Cardiac Catheterization Laboratory. This role provides leadership, staff supervision, and development, ensuring the implementation of policies, resource allocation, and adherence to quality standards. The CSL collaborates with clinical teams to maintain a positive work environment and supports patient care excellence..
Key Responsibilities:
Provides clinical consultation and support to Cath Lab staff, overseeing clinical quality efforts, including audits of protocols and surgical processes.
Collaborates with the Cath Lab Manager/Director to maintain quality care standards as required by departmental protocols and regulatory agencies.
Ensures availability and readiness of supplies, equipment, and stock; addresses equipment needs, failures, or inventory issues to minimize disruptions in patient care.
Supports the professional development of staff by identifying learning needs, collaborating with the preceptor team and clinical educator, and assisting with orientation and ongoing training.
Assists primary physicians in performing procedures, preparing equipment, reviewing patient history, and providing first-assist support during procedures.
Ensures complete, accurate, and timely post-procedure data documentation in alignment with Cath Lab and hospital protocols.
Supervises, trains and oversees departmental staff.
Schedules employees to ensure effective use of resources. Consults with Manager or Director on staffing issues.
Assists with and contributes to performance evaluations and goal setting.
Assists in managing departmental budget ensuring cost-effective operations while maintain high quality service.

OSP-Financial Management Unit
The identified individual(s) is a member of the Office of Sponsored Programs-Financial Management Support and delivery team (OSP-FMS) whose mission is to provide the best possible customer service to the VUMC research community for frontline financial and selected award management activities. Working in a high-volume, deadline driven, fast-paced, and dynamic team environment, the OSP-FMS is a group of professionals structured with expertise focused on achieving department and institutional goals by providing services and support to an assigned portfolio with duties of a complex and confidential nature. The individual must have attention to detail; a strong work ethic; social and communication skills as a team player and resource; and the ability to work in a multifaceted, collaborative, central office environment.
OSP-FMS is critical in maintaining the integrity of the research enterprise. The position(s) ensures that research activities are conducted efficiently and in compliance with all relevant regulations and policies. The individual(s) works in close collaboration with various groups to provide consistent expertise, knowledge, guidance, using key performance indicators, fostering continuous improvement and support to the research enterprise.
On an annual basis, the OSP-FMS unit supports:
- ~1,000 Principal Investigators from 40+ VUMC Departments, Institutes, and Centers submitting 4,000+ applications achieving ~$900M in sponsored awards annually from 500+ unique external sponsors resulting in the monitoring of an awards portfolio of over 4000 Workday AWDs and 6000 unique grant tags supporting nearly $800M in grant and contract expenditures

KEY RESPONSIBILITIES
- Manages complex and time-sensitive accounting/financial activities with a high-level of knowledge and demonstrated subject matter expertise, ensuring proper oversight requirements and reporting to key stakeholders.
- Manages daily fiscal responsibilities of research awards and sponsored funds within an assigned portfolio, including the operational oversight of post-award processes, i.e., effort reporting, financial reporting, and project close-outs.
- Work across central office teams to review, create, and optimize Workday financial reports; provide input on departmental annual research budgets; conduct analyses of center deficit/surplus corrections; and compile and submit grant closeouts, year-end closings, invoice monitoring, and other financial activities.
- Oversee compliance and risk management activities for an assigned portfolio, including but not limited to quarterly effort certification processes, the annual faculty research survey, and adherence to institutional policies
- Coordinate multiple and competing priorities under absolute deadlines
- Proactivity communicate and assist PI with fiscal management oversight and all periodic reporting requirements (as detailed in awards) ensuring the accuracy of all reporting information
- Ensure adherence to institutional policies and federal regulations (e.g., foreign travel, export control, subaward monitoring, IRB, IACUC, IT and procurement, etc.)
- Collaborates with team members, departmental staff, and faculty as well as with other OSP units to provide updated information on requests related to the financial management of an assigned portfolio
- Provides policy interpretation, guidance and assistance to faculty with all aspects of financial and sponsored project management

Patient Services Specialist (PSS) provides customer service, including telephone etiquette, cash management, scheduling of appointments, processes insurance updates and conducts patient check in/out. The PSS is responsible for maintaining a smooth patient flow. They are the first contact with our patients, therefore, must be extremely courteous, patient, and have a neat appearance. KEY RESPONSIBILITIES
- Greet patients and guests upon arrival. Scan the reception area periodically to ensure that each patient is checked in. If uncertain, verify patient's status. Work with Office Manager to reconcile charge batches, balance cash collections to Use Batch Report daily, reconcile cash discrepancies, prepare deposit and take to central depository or bank (daily), and reconcile petty cash and submit to central depository (daily).

We help make sure everyone who gives your child medical care knows what they need. And we make it easier for you by providing that care in as few visits as possible.
We specialize in helping children with severe, chronic disease affecting multiple organ systems. Many of the children we follow depend on medical technology. Our team members are experts in working with gastrostomy tubes, tracheostomies and other devices. We coordinate your child's inpatient care and follow up with your local pediatrician. In the hospital, we work with subspecialists as they visit your child to ensure they are aware of your child's needs. We also see your child in quarterly outpatient visits to continue supporting your family through the year.
