Outpatient Rehab Office CoordinatorJOB SUMMARY
Responsible for day to day administrative functions to include business operations, clerical, patient billing and accounting functions, medical records, reception and patient scheduling.
PERFORMANCE DUTIES
Responsible for scheduling all outpatient appointments
Responsible for clear communication with insurance verifiers, therapists, other hospital staff as needed.
Maintain consistent and accurate information flow and documentation for patient accounts, finance and reimbursement.
Verifies patient insurance and collaborates to monitor ongoing pre-authorization needs.
Responsible for tracking patient charges, including posting and reviewing receivables, collections, deposit and denials.
Responsible for ordering necessary supplies for department
Timekeeping responsibilities
Initiates and maintains accurate data files and record keeping of patient records, patient charges, correspondence and business functions.
Maintains knowledge of current medical records requirements for outpatient department and applies knowledge of policies and procedures related to medical record information, confidentially, release of records, abbreviations and historical data.
Collaborates with appropriate department and physician offices, to get documentation or information to facilitate diagnostic and procedural coding.
Generates letters to referring physicians from chart data as directed by managerial staff.
May assist Manager and Medical Director in projects and marketing functions.
Handles daily routine problems following proper channels of communication and recognizing issues for referral to management.
Attends all mandatory in-services and some other professional educational opportunities to enhance skills.
May be responsible for assuring that patient medical claim data used for billing purposes accurately reflects the clinical care provided by the patient care department by:
Acquire and maintain a complete understanding of department charges, charge order sets, department CDM and charge capture processes.
Perform charge reconciliation on a daily and monthly basis.
Obtain, review and correct errors per error report(s) or upon request.
JOB QUALIFICATIONS
Education: High School graduate with some additional formal education.
Licensure- None.
Training and Experience:
- Training and completion of I.S. programs - Simon, Intranet.
- Minimum two year's prior medical office experience.
- Excellent organization skills, oral and written communication skills.
- Medical accounts billing experience desirable.
- Transcription experience desirable.
- Must have computer experience.
Job Knowledge:
- Commands computer knowledge for operations of word processing, database programs, simple spreadsheet functions, billing and patient account functions.
- Demonstrates knowledge of third party payer system including Medicare, Medicaid, commercial, PPO and HMO systems and assists with financial counseling of patients.

- Must be able to demonstrate knowledge and skills necessary to provide care appropriate to the age of the patients served. Must demonstrate knowledge of the principles of growth and development over the life span and possess the ability to assess data reflective of the patient's status and interpret the appropriate information needed to identify each patient's requirements relative to his/her age-specific needs, and to provide the care needed as described in the department's policies and procedures. Age-specific information is developed further in the departmental job standards.
Minimum Job Requirements
Education
Graduate of a Board of Nursing approved nursing education program.
Certification / Registration / License
- Basic Life Support (BLS). Additional education, training, certifications, or experience may be required based on specialty.
- Active registered nurse (RN) multi-state compact and/or single-state license with privileges to practice in the state(s) where the RN is providing client nursing services
Note: Licensed nurses practicing via telehealth/telenursing/virtual modalities are required to be licensed or hold the privilege to practice in the state(s) where the client(s) is/are located. Licensed nurses are responsible and accountable for knowing, understanding, and practicing in compliance with the laws, rules, regulations, and standards of practice of the state(s) where the client(s) is/are located.

Physical Requirements and Working Conditions
- Must be able to sit, stand, walk, lift, squat, bend, reach above shoulders, and twist frequently throughout the workday.
- Must be able to lift and support the weight of 35 pounds in handling patients, medical equipment, and supplies.
- Must be able to: push/pull with 30 lbs. of force and perform a sliding transfer of 150 lbs. with a second person present.
- Must have functional speech, vision, hearing, and touch with ability to use fine hand manipulation skills for IV insertion and other procedures/functions.
- Maneuver foot pedals on carts or machines.
- Perform physical safety interventions such as patient restraint and verbal de-escalation, if needed.
- May be exposed to chemical and hazardous waste as well as blood and body fluids and communicable disease. Therefore, protective clothing and equipment must be worn as necessary.
- Must be able to respond quickly to changes in patient and/or unit conditions.
- Physical Abilities Testing may be required.

Our team provides care for patients with a variety of neurological conditions in a collaborative, patient-centered environment.
Position Summary Medical Assistants are responsible for rooming patients, obtaining vital signs, preparing patients for visits, and supporting provider clinic schedules to ensure efficient patient flow and exceptional patient care.

$21.85 - $32.80Major Responsibilities:
- Adheres to Medical Assistant scope of practice, follows all policies and procedures, and maintains training and competency based on area of specialty when providing patient care.
- Performs rooming/visit tasks such as vital signs, medication reconciliation, medical history, health maintenance, allergy review, and screenings (depression, suicide, falls, social drivers of health, etc.).
- Assists provider with or performs procedures as ordered.
- Performs lab related duties such as venipuncture, specimen collection/labeling/packing, preparation of lab orders/requisitions, and results tracking. Point of Care testing (POCT) per standing order/provider order. Completes Clinical Laboratory Improvement Amendments (CLIA) approved waived laboratory tests and practice-specific diagnostic testing in adherence to CLIA standards.
- Administers medications and vaccines safely following the rights of medication administration.
- Performs other duties as assigned such as medication refills, insurance authorizations, safety/regulatory log completion, patient messaging, medication/supply ordering, appointment scheduling, and referrals.
- Cross trained to perform duties that are relevant to specialty or clinic practice within the scope of the Medical Assistant.
- Demonstrates effective and timely communication, teamwork, and appropriate escalation.
- Maintains a clean work environment ensuring instruments and equipment are cleaned appropriately. Ensures equipment and supplies are in working order, and areas are appropriately stocked.

- Screens patient calls, interviews patients and follows critical test values, documents information and notifies appropriate sources, records and instructs patients on cardiac event monitoring and sets up calls for follow-up with the physician.
- Recognizes routine wave forms, artifact and serious changes in patient rhythms. Communicates with medical staff when uncertain of rhythm or when critical test values arise.
- Assists with processing medical information, editing, billing, filing, and copying and acts as a resource to provide pertinent clinical information to other staff and physicians utilizing the electronic medical record ensuring patient safety and HIPAA guidelines are adhered to.
- Cleans, stocks and ensures the integrity of the systems and recognizes mechanical or technical abnormalities. Performs calibration and troubleshooting procedures on ECG and/or stress equipment and communicates problems to information services or clinical engineering.

- Performs reception/clerical duties which includes answering phones, taking messages, transferring calls, greeting, registering and scheduling patients, billing, faxing, photocopying, assembling patient medical records, opening, sorting and routing incoming mail.
- Review therapy orders in the electronic medical records system and ensures patients are routed appropriately.
- Maintain department files, binders, records, logs, etc. Process billing/reimbursement forms and other department records. Completes insurance verifications and authorizations. Tracks and follows up on need for reauthorizations.
- Monitor the therapy environment to ensure it meets patient experience standards.
- Orders, stocks, and organizes therapy equipment and supplies. Stocks and disposes linens as appropriate. Monitors department office equipment and troubleshoots minor problems.
- Cleans and disinfects gym/treatment areas, equipment, tables, wheelchairs, walkers, pool, hydrotherapy unit, etc. according to established standards. Performs routine maintenance/safety checks and completes work orders.

CVICU 7T is a 30 bed ICU caring for patients post open heart surgery, transcatheter aortic valve replacement, aortic interventions (surgical and endovascular), vascular procedures and end stage heart failure treatment (clinical work-up, left ventricular assist device implantation and heart transplantation).

The Patient Financial Services Representative (PFSR) serves as the first point of contact in greeting patients and guarantors in the hospital, ambulatory or medical office setting. Other Information: In Memorial Physician Group (specialty practices), additional responsibilities include: (1) obtain specialty authorizations (2) authorization denial and peer to peer process (3) patient care navigation ex: surgical and procedural coordination and scheduling for patient specific populations (4) handle all incoming calls and physician and hospital back line (5) obtain and confirm referrals. In the Hospital, additional responsibilities include: (1) Upon validation of patient identity, place identification band on patient (2) obtain signatures for hospital specific regulatory forms not required in an ambulatory or office setting (3) obtain authorizations for walk-in appointments (4) determine when financial assistance is needed. In Memorial Primary Care, additional responsibilities include: (1) MIH-MPC program patient referral, payment collection and eligibility scheduling (2) process referral work-ques and same day access requests (3) work with Patient Access Center on real time patient requests (4) address prescription refill requests, patient advice requests through MyChart, and provider scheduling template.
For the Physician Practices (MPG, MPC and UCC): Must be willing to travel to other locations based on the needs of the business. Mileage reimbursement is provided.

Education
Minimum: High School diploma. Graduate from a state accredited nursing program. Current State of Michigan Practical Nurse Licensure (LPN) required. Completes required elements to maintain Michigan Practical Nurse licensure. Must maintain current BLS certification and CEUs for re-licensure.

Related Experience
Minimum: Experience in a healthcare setting as an LPN.
Preferred: Hospital experience.
Computer Competency
Familiarity with standard desktop and Windows based computer system, including email, e-learning, intranet, and computer navigation. Ability to use other software required to perform essential functions.
Physical/Mental
Minimum: Physically and mentally capable of performing position requirements. Must be able to push, pull or lift a minimum of 35 pounds. Frequent standing, walking. Occasional bending stooping, twisting. Ability to hear speech, speak, use near-far vision and fine motor skills. Ability to perform continuously detailed tasks with frequent interruptions and work prioritization.
- The LPN role works directly under the supervision of an RN.
- Assists the RN in the application of the nursing process to assigned patients.
- Provides or assists patients with ADLS.
- Documents assessments, interventions and patient response, and initiates care plans in the Electronic Health Record (EHR). Initiates care plans.
