Under close supervision, the Clinical Administrative Specialist I provides clinical administrative support to physicians, nurses, and other members of the care team in their clinical practices in support of Dana-Farber Cancer Institute’s mission. This role is a key member of the care team, facilitating real-time communication and providing accurate patient information to clinicians using various communication systems. Following established triage guidelines, the Clinical Administrative Specialist I routes patient and caregiver symptom management questions, general requests, and inquiries to the appropriate team member. The position assumes responsibility for various aspects of care coordination and serves as a liaison between patients and clinical staff, supporting efficient, patient-centered care delivery.

Primary Duties and Responsibilities
Under close supervision, performs the following:
- Provide clinical administrative support for the department, clinicians, and/or faculty, including managing routine administrative tasks that support day-to-day clinical operations.
- Serve as a liaison between patients and clinical staff, ensuring timely and accurate communication and facilitating coordination of care.
- Triage incoming patient messages and requests (phone, portal, and other communication channels) to relevant clinical team members in accordance with established triage guidelines; respond to patient inquiries within defined scope.
- Draft and prepare patient correspondence, including letters, disability paperwork, and other documentation, ensuring completeness, accuracy, and timely processing.
- Request and track medical records from external institutions and ensure that relevant information is routed to appropriate clinical team members.
- Manage reference lab orders and portal input, including entering and updating information accurately and distributing results or notifications to the care team as appropriate.
- Distribute incoming patient materials (e.g., forms, records, reports) to relevant team members and maintain organized workflows for document handling.
- Perform data entry and maintain accurate records in applicable systems, including electronic medical records and other clinical or administrative databases.
- Provide email and phone communication with internal and external teams or collaborators, ensuring professional, timely, and clear exchanges of information.
- Maintain a high level of professionalism, discretion, and confidentiality regarding a variety of highly sensitive topics, including protected health information.
- Perform other duties as assigned to support clinical operations and patient care.
Knowledge, Skills and Abilities
- Ability to function as an integral member of a team, building effective working relationships with clinicians, peers, and other staff.
- Excellent written and oral communication skills, with the ability to communicate clearly and professionally with patients, caregivers, and colleagues.
- Strong customer service skills and the ability to interact professionally with patients, families, peers, and leadership, including in emotionally charged situations.
- Ability to prioritize tasks, problem solve in real time and escalate issues appropriately within established guidelines.
- Proficiency with personal computers and standard office software (e.g., email, word processing, spreadsheets); ability to learn and use electronic medical records and other clinical systems.
- Strong organizational skills with the ability to multi-task, manage competing priorities, and follow through on assignments with attention to detail and accuracy.
- Ability to work productively in a remote or hybrid environment, including managing time effectively and maintaining reliable communication.
- Ability to maintain confidentiality and handle sensitive information in accordance with institutional policies and regulatory requirements.
- Knowledge of medical terminology preferred.
Minimum Job Qualifications
- High school diploma or equivalent required. Bachelor’s degree in Healthcare Administration or related field preferred.
- Minimum of one year related healthcare and/or customer service experience required.
- Experience in a clinical or medical office setting preferred.

Responsible for reviewing and abstracting the medical records for research patients on studies they are assigned.
Entering identified clinical data points in the corresponding database.
Ensuring that data is entered within the outlined timelines for each trial.
Assisting research teams with the development, testing and implementation of Case Reports Forms for PI-Initiated clinical studies.
COMPETENCIES:
Demonstrates an understanding of the data elements within the assigned data repository.
Ability to create and run appropriate reports from the data repository.
Demonstrates an understanding of the consent process and can independently facilitate the consenting of subjects.
Knowledgeable in data abstraction.

NP Qualifications:
- Authorization to practice in an expanded role as a Nurse Practitioner in the Commonwealth of Massachusetts
- Current certification from a nationally recognized accrediting body approved by the Massachusetts Board of Registration in Nursing for Nurse Practitioners
- Minimum of 24 contact hours beyond generic education in pharmacotherapeutics
- Masters degree in Nursing
- Minimum of 1 year oncology nursing experience or 1 year Nurse Practitioner experience
- Oncology Nurse Practitioner experience preferred
- In possession of Massachusetts Department of Public Health and Federal DEA numbers
- Certification in Oncology Nursing preferred - OCN, AOCN, CPON, BMTCN, CPHON
Terms and Conditions of employment for Nurse Practitioners at Dana-Farber are governed by a collective bargaining unit through the Massachusetts Nurses Association at our Longwood, Chestnut Hill, and Merrimack Valley locations.
PA Qualifications:
A Master’s Degree and successful completion of an AAPA/NCCPA accredited Physician Assistant Studies program are required. Must be NCCPA Certified and licensed to practice as a Physician Assistant in Massachusetts. Must maintain current DEA and Massachusetts Controlled Substance Licenses, and complete 100 hours of CME according to national and state regulations during each 2 year period of employment.
PA I: No professional experience required.
PA II: 2 years of qualifying professional Physician Assistant experience
PA III: 5 years of qualifying professional Physician Assistant experience

With direct oversight, the Clinical Authorization Specialist:
- Manages approval process for clinically complex cases:
- Discusses complex medical necessity cases in all aspects of the prior authorization work (on-label drug, off-label drug, laboratory testing, and others as assigned) with attending physicians.
- Understands clinically complex medical situations and communicates appropriate medical information to the insurer.

Completes Molecular Pathology requests with the goal of resolving coverage issues prior to performing the testing.
Review and monitor the drug authorization work queue, identifying patient treatment/therapy plans that require prior authorization.

Clinical Expertise
- Demonstrates expertise in areas of oncology clinical practice, by participating in patient care to identify opportunities for improvement, assess staff performance, and facilitate implementation of new practices.

Oncology Social Worker (LCSW) – Outpatient Oncology & Infusion Center
The Oncology Social Worker provides comprehensive psychosocial assessment, counseling, advocacy, and care coordination services to patients and families receiving treatment in an outpatient oncology and infusion center. Working as an integral member of the multidisciplinary cancer care team, this role supports patients throughout diagnosis, treatment, survivorship, and end-of-life care by addressing emotional, social, financial, and community resource needs. The Oncology Social Worker helps reduce barriers to care and promotes optimal patient outcomes, quality of life, and continuity of services.
Key Responsibilities
Conduct psychosocial assessments, distress screenings, and ongoing evaluations for oncology and infusion patients and their families.
Provide individual, family, and supportive counseling related to cancer diagnosis, treatment, survivorship, and adjustment to illness.
Develop and coordinate outpatient care transition and discharge plans based on patient needs, available resources, and clinical recommendations.
Collaborate with physicians, nurses, advanced practice providers, navigators, and other healthcare professionals to support patient-centered care plans.
Assist patients with access to financial assistance programs, insurance resources, transportation, community services, and supportive care programs.
Coordinate referrals to behavioral health, hospice, home care, palliative care, and other community-based resources as appropriate.
Support development and implementation of survivorship care plans consistent with oncology best practices and regulatory standards.
Document assessments, interventions, care plans, and outcomes in the electronic medical record.
Participate in multidisciplinary case conferences, quality initiatives, and cancer program committees.
Serve as a patient advocate while maintaining the highest standards of professionalism, confidentiality, and ethical practice.
Qualifications
Master's Degree in Social Work (MSW) from a CSWE-accredited program required.
Connecticut Social Work licensure required (LCSW preferred; LMSW considered based on experience and ability to obtain clinical licensure).
Minimum of two (2) years of social work experience in healthcare, oncology, infusion services, ambulatory care, or a related setting preferred. Relevant field placements may be considered.
Knowledge of psychosocial oncology, community resources, crisis intervention, care coordination, and patient advocacy.
Strong communication, counseling, assessment, and interdisciplinary collaboration skills.

Oversight of the clinical trials start-up process from receipt of protocols through the Scientific Review Committee and IRB submissions, and site activation activities.

PRIMARY DUTIES AND RESPONSIBILITIES:
- Oversee all aspects of cash and liquidity management, treasury management system (Kyriba), banking relationships, bank service fees, and general operations.
- Manage debt issuance due diligence, analytics related to refunding and line of credit renewals, assuring an appropriate level of funding and competitive pricing.
- Develop, refine and maintain a cash forecasting model to anticipate and manage daily cash balances and to identify long term cash requirements.
- Ensure ongoing compliance with debt covenants, quarterly and year end reporting; Calculate and analyze financial covenant requirements, prepare quarterly and annual reports and certificates for public disclosure as required by the Continuing Disclosure Agreement.
- Ensure compliance with internal controls, policies and procedures in day-to-day conduct and supervision of cash management and investment activities.
- Oversee the Institute’s $3-4 billion Investment portfolio by acting on the Investment Committee decisions ranging from reviewing Investment Committee quarterly meeting minutes for directives, tracking the portfolio rebalancing and new investments, monitoring portfolio fund returns for any large variations.
- Lead the audit process of the Institute’s debt and investments; Develop and analyze complex investments and debt schedules for interim and annual external audits; Work with rating agencies and senior executives to facilitate annual rating review of the Institute.
- Lead the budget and multi-year financial plan process relative to debt, leases and investments.
- Manage and support strategic Treasury initiatives; provide analysis for strategic projects for executives, senior management regarding cash, liquidity, debt and investment, and present to senior management and various committees.

Primary Duties and Responsibilities:
• Ensures proper patient identification and maintains patient safety, privacy, confidentiality and follows guidelines under HIPAA.
• Obtains and records vital signs, pain screens, weights and heights accurately into Electronic Medical Records (EMR).Reports changes and/or abnormalities in vital signs; findings that are outside of defined parameters; and changes in patient’s conditions to the nursing/medical staff in a timely manner.
• Obtains specimens (urine, stool, sputum, etc.) and ensures accurate labeling in presence of patient.Instructs patients/family members in collecting specimens.
• Performs phlebotomy and EKG as applicable and is competent in the two patient identifier practice.
• May precept with specific training.
• Assists with disease center specific procedural needs as applicable.
• Transports patients, medical records, specimens, blood components, equipment and supplies in accordance with Institute policy.
• Ensures that all patients on schedule are accounted for and communicate with providers/patients and colleagues as to approximate wait times.

• Assures that all clinical areas have an adequate stock of medical supplies, equipment, and forms.

- Delivers expert, evidence-based nursing care to patients and families: Implements nursing process: Assessment, Nursing Diagnosis, Planning, Implementation, Evaluation. - Under the direction of the clinical practice support management team, provides appointment scheduling ranging incomplexity from one physician appointment to multiple care provider appointments in accordance with department scheduling guidelines for new and/or existing patients.
- Performs front desk check-in and check-out functions (may defer complicated scheduling to Practice Coordinator II as needed).
- Obtains detailed clinical information face-to-face, by telephone or electronically.
- May provide basic information regarding the need for insurance referral(s).
- Performs independent patient and outside provider call triaging and assists in directing patient flow.
- Serves as a liaison between patient/family/provider.
- Confirm patient’s demographics (address/phone numbers etc) and insurance information.
- Review patient “alerts” and reconcile ie: patient contact information, Medicare Survey etc.
- Responsible for complex scheduling activities associated with patients arriving from main campus, other centers or otheroutside entities and coordinating 2nd opinion physicians, specialists, dieticians, etc.
- Ensures the completion of prior authorizations for radiology testing and authorizations for outside ancillary services.
- Manage all incoming referrals; provide appointment setting and coordination of medical records.
- May navigate new patients and educate them about all available services.
- Understand and utilize DFCI systems as well as the local Hospital’s systems i.e. Meditech
- Resolves issues directly or ensures appropriate management of call by others.
- Recognizes emergencies and appropriate responses using standard operating procedures and critical thinking skills.
- May provide general administrative support and coordination for all aspects of patient care for both new and/orestablished patients, including filing, document preparation, data entry, telephone support, etc.
- Refer patients to financial counselor as needed at DFCI.
- If insurance has changed, copy card and give to New Patient Coordinator for updating and insurance eligibility check.
- Requires basic knowledge of insurance plans which constantly change; knowledge of insurances that SEMC/DFCI are participants; and high-risk insurances
- Retrieves voicemails and follow up/triage accordingly.
- Handles incoming requests for records and mails/faxes information as appropriate; Faxes notifications to HIS as necessary (patient name changes, etc)
- Carries out specific processes in the patient scheduling systems so that correct special billing and revenue processes function properly.
- Participates in clinical systems training for new hires and may teach or participate in the planning.
- Prepares, opens and closes provider schedules and handles daily schedule changes.
- Conduct slide submission as needed.
- Enters data into patient care related databases.
- May be responsible for mini-registrations, insurance verification and clinical intake for new patients. Complete annual registration update if necessary.
- May be required to perform other duties as required by the clinical practice support team.
- Prepares complex documents, processes disability forms, prescription plan refill processing or other patient care forms.
- Assists in the review of office supply par levels to ensure adequate supplies at front desk.
- Receives shipments to the unit and places supplies and stock items in proper storage area.
- Review “type” of patient apt and ensure necessary forms are completed: new patient consults-print appropriate labels and refer to New Patient Coordinator.
- Review prepared lists for patients needing a Health Care Proxy or Distress Tool to be completed. Assist those patients in completion of forms. Be prepared to answer non-clinical questions about the Health Proxy or refer any detailed.
- Coordinate care with main campus and facilitate appointments. Track referrals and generate reports to evaluate withentities are sending patients.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
Understand and utilize DFCI systems as well as the local Hospital’s systems i.e. Meditech
Requires basic knowledge of insurance plans which constantly change; knowledge of insurances that HFH/LGH are participants; and high risk insurances
Ability to multi-task and function as an integral member of the team.
Excellent verbal and written communication skills required.
Excellent computer, customer service and problem solving skills required.
Demonstrated ability to carry out complex scheduling as required.
Demonstrated ability to draft complex reports, correspondence and other administrative documents pertaining to patient scheduling as needed.
MINIMUM JOB QUALIFICATIONS:
Associates degree; 3 years of equivalent experience may substitute for a degree. Bachelor’s degree preferred
3 years of experience working in a medical or customer service setting
A degree may substitute for experience
Knowledge of medical terminology required.
