Job Summary:
The Medical Assistant (MA) Admin will be responsible for the coordination of direct patient care activities and providing clinical support to providers within one of our clinical practices.
Duties include but not limited to the following: check in patients, obtaining vital signs (height, weight, blood pressure, pulse oximetry, temperature) and medication reconciliation, patient medical history information, expediting patient flow, rooming patients, stocking clinic with supplies, navigating electronic health record system (EPIC), scheduling and following-up with appointments and assisting with medication fill and refill requests, checking for prior authorizations and scheduling tests, procedures and consultations. May also perform other procedures such as EKG, phlebotomy, lab tests and injections (once competency has been assessed).
The MA will communicate with pharmacies, insurance companies, patients and physicians in a respectful manner and will uphold Baptist’s mission and core values that drive service excellence.
Essential Duties and Responsibilities:
Manages the coordination and flow of patients throughout the patients visit to create an exceptional patient experience.
Proactively check the provider’s schedule and review information within the patient record to ensure that all required information is available prior to their visit.
Proactively obtains any missing information from the patient to ensure that medical records are accurate and up to date, which helps to ensure better care is being provided.
Upon arrival, captures patient’s vital signs, past medical, social and family history, medication usage and preferred pharmacy information.
Ensures compliance with all state and federal regulatory requirements including HIPAA/OSHA compliance.
Minimum Requirements:
High School Diploma or General Education Equivalency
Basic computer skills, specifically with navigating within databases containing highly confidential information, plus.
Basic Life Support and other advanced training as appropriate to be received within 90 days, plus one of the following:
Prior working experience in a medical office/clinic performing clinical MA duties.
Upon hire these disciplines will be assessed for clinical competency and be required to successfully complete an MA orientation | externship as well as complete any additional training as required by the Provider.
Or a Certified MA from the National Health Career Association (NHA).
Upon hire these disciplines will be assessed for clinical competency and be required to successfully complete an MA orientation | externship as well as complete any additional training as required by the Provider.
Or completed any MA education program, but has not received certification as of yet.
Upon hire these disciplines will be assessed for clinical competency and be required to successfully complete an MA orientation | externship as well as complete any additional training as required by the Provider.
Preferred Requirements for Certified Medical Assistant:
Current MA Certification from AAMA, AMT, NAHP, NCCT, AAMP.
Or graduate of an accredited LPN or RN program with current Licensure without restrictions.

Basic Life Support and other advanced training as appropriate, within 90 days.

Works closely with academic departmental leadership in the development of departmental policies, procedures and education with regard to research in the department. This position offers flexibility to work fully remote.

RESPONSIBILITIES:
Serves as point person and facilitates smooth coordination, communication, and problem resolution between research administration, faculty, divisional and/or departmental leaders, and other hospital and university departments.Coordinates research efforts in the recruitment of new faculty and staff. This may include advising new faculty on transfer procedures, including relocation of equipment and financial arrangements. Is responsible for coordination of facility management staff, new recruits and support departments in the establishment and construction of space for the recruitment program.Leads and coordinates special research-related projects, such as major grant proposals, investigator incentive programs, departmental and divisional reports and statistics. Coordinates transfers of research funding for the purpose of proper reimbursement and allocation of physician salaries on research accounts.Provides direct assistance, guidance, and resources information to departmental faculty seeking funding for research endeavors. Assumes or may assume responsibility for handling complex proposals. Reviews project applications in consideration of project budget, application instructions, sponsor rules and unique requirements, and provisions for recovery of indirect costs. Recommends and negotiates changes to appropriate applications with principal investigators or department administration and/or involved individuals at the other institutions which do not compromise the institution, department or investigators. Verifies all necessary approvals, including Human Subjects, to ensure that guidelines are met. Forwards completed applications to research administration for final approval.Assists in managing the department post-award aspect of projects, which requires sensitivity to the needs of individual investigators, knowledge of sponsor, institutional and departmental requirements, ability to interpret those requirements and competency in addressing the in-house systems (research administration, accounts payable, accounts receivable, finance, purchasing, human resources, payroll and pharmacy). Determines which principal investigator (PI) or administrator may need closer monitoring to prevent activity which could affect the institution negatively. Works closely with the Office of Research Administration to create and execute special monitoring plans for specific projects. May intervene to point out available resources or alternative procedures as appropriate. Develops departmental resources and procedures with regard to the special requirements of clinical trials.In conjunction with the academic department’s goals, develops the departmental research budget. Collaborates closely with the appropriate faculty practice administrator or hospital administrator for the appropriate reimbursement of physician salaries for research. Monitors such budget throughout the fiscal year to ensure appropriate expenditures.As appropriate, coordinates human resource and payroll issues for the department. Interacts with research administration and human resource department regarding new positions, recruiting, hiring of students, job changes, salary reviews and other related policies and procedures to assist Principal Investigators and departmental leadership. May serve as the departmental approver for time and attendance.Creates reports for departmental administration regarding funding levels, grant submission and award activities. Maintains confidential and comprehensive records of salary expenses and other disbursements, recommending adjustments where necessary. Reviews and monitors policy and procedure adherence for purchase orders, travel requests, petty cash vouchers, requisitions for payment including all equipment, maintenance agreements, contracts and subscriptions, assisting where necessary.Reviews, and with assigned signature authority, approves or rejects expenditures for specific projects, including purchase requisitions, check requests, expense vouchers, travel advances, and capital expenditures.Ensures that department is compliant in time and effort reporting. Monitors employee change forms for research faculty and staff within the department. Assures that funds are available and notifies PI and leadership when adjustments become necessary. Coordinates with the Office of Research Administration on problem issues as appropriate and to execute salary split changes and salary transfers as need.Participates in training and education regarding regulatory issues in research to help ensure compliance for the investigator and department. May assist Principal Investigators with IRBACUC submissions, including guidance on electronics submissions of protocols.Maintains strong daily association with research administration, including collaboration on final reports and some accounting adjustments. This also includes resolution of problem accounts with principal investigators, sponsors, or administrators. Reviews and determines direct cost transfers are allocated to appropriate account and are allowable. Prepares necessary journal vouchers for submission to research administration.Maintains current knowledge of institutional and sponsor requirements, procedures and areas of interest through active communication with the Office of Research Administration and sponsors and professional societies. Maintains awareness of new or changed regulations.Selects, evaluates and trains subordinate administrative staff.Performs other duties as assigned.
MINIMUM QUALIFICATIONS:
BASIC KNOWLEDGE:Bachelor’s degree in business administration, public administration, finance or other related discipline.Masters’ degree preferred.EXPERIENCE:Five or more years of progressively more responsible experience in a researchcademic environment to include federal and non-federal funding, clinical trials, grant application processes, and regulations set by local, federal, hospital, and independent agencies.Excellent verbal and written skills are essential.The ability to interact with persons from diverse backgrounds such as MD’s, PhD’s, research and administrative staff.Thorough knowledge of microcomputers, peripheral equipment and networks.Thorough knowledge of software such as Microsoft Word, Excel, Access and Windows.Ability to learn specific research access programs.SUPERVISORY RESPONSIBILITY:May provide direct supervision for personnel assigned to the department’s program.Normal office environment.This position offers flexibility to work fully remote.
Pay Range:
$67,724.80-$111,716.80

What You Will Do:
- Document all appeal requests or grievances upon receipt in the operating systems and routes cases to appropriate clinical personnel for review.
- Obtain confidential medical records from providers offices utilizing secure methods.
- Responsible for preparation of case files and review with clinical colleagues.
- Screen all incoming grievances, appeals and provider claim dispute to ensure they are within compliance requirements of CMS guidelines and corporate policies.

- Prepares and reviews data universes for the Centers for Medicare and Medicaid Services (CMS) audits.

- Responsible for ensuring 5-Star (maximum) ratings from CMS for appeals and grievance related measures. STAR ratings have a direct correlation on payment methodology and reimbursement to the organization.
- Maintain compliance of all regulatory requirements that apply to beneficiary protection areas of appeals and grievance.

Minimum Qualifications:
Education: Bachelor’s degree or an equivalent combination of education and experience.

$20.80 - $31.20A Patient Service Representative (PSR) is often a patient’s first impression of Advocate Health and frequently is the starting point and foundation for all Revenue Cycle functions. That work includes complete and accurate capture of information related to patient demographics, insurance coverage, and patient financial responsibility. The PSR helps prevent the loss of revenue and impacts operating margins through the accuracy and timeliness of their workflows. The PSR ensures mandated regulations are followed and patient satisfaction is optimized. The PSR plays a crucial role in connecting a variety of departments for the overall success of the patient’s experience and the organization’s financial success. Often works without direct supervision present.
Major Responsibilities:
Creates the initial electronic health record that serves as the foundation of the patient medical record that is utilized by all members of the healthcare team. Prevents creation of duplicate medical records that can cause treatment safety issues and billing problems. Follows and ensures compliance with the mandate of the organization’s accrediting bodies to use identifiers to positively identify a patient prior to the delivery of patient care to ensure patient safety.
Checks in and registers patients; obtains and verifies complete demographic, guarantor, and insurance information; discusses and collects co-pays and other out-of-pocket patient responsibilities. Obtaining accurate information at the point of registration helps ensure timely payment to the organization and prevents billing issues and patient complaints. Maintains complete confidentiality regarding patient personal/financial information and medical records in accordance with the Health Insurance Portability and Accountability Act (HIPAA).
Knows insurance basics and recognizes commercial and government plans. Understands which plans Advocate Health contracts with and when a statement of financial responsibility is needed. Understands and discusses financial information and obligations with patients. Knows how and when to refer patients to Financial Advocates.
Has knowledge of which rules, forms and questions must be enforced to make sure Advocate Health remains compliant with government agencies and regulations. Examples are HIPAA, Emergency Medical Treatment and Active Labor Act (EMTALA), Consent for Treatment, Patient Rights and Responsibilities, Important Message from Medicare (IMM), Medicare Outpatient Observation Notice (MOON), Notice of Privacy Practices, Medicare Secondary Payer Questionnaire (MSPQ), Advanced Beneficiary Notice (ABN). Obtains patient or guarantor signatures as required.
May schedule patient appointments: may also coordinate cancellations, reschedules, wait list requests, and recall requests. Provides accurate, detailed information regarding test preparations, patient arrival time, medication/food/beverage consumption guidelines, check-in procedures, directions to facility, etc.
Creates a welcoming and professional environment for our patients and visitors by demonstrating extraordinary customer service. Greets patients and visitors and responds to routine requests for information. Answers telephone, screens calls, and takes messages. Offers various assistance to patients to include arranging transportation needs, providing directions, locating a wheelchair, coordinating interpreter services, etc.
Monitors and works assigned electronic health record work queues, following the department’s approved process.

HIPAA-compliant and knowledgeable of applicable state and federal rules/regulations. Ability to handle sensitive and confidential information according to internal policies.
General understanding of health insurance: Medicare, Medicaid, managed care, and commercial payers. Knowledge and ability to articulate explanations of Medicare/HIPAA/EMTALA rules and regulations and comply with updates on insurance pre-certification requirements.

The identified individual(s) is a member of the Office of Sponsored Programs-Financial Management Support and delivery team (OSP-FMS) whose mission is to provide the best possible customer service to the VUMC research community for frontline financial and selected award management activities. Working in a high-volume, deadline driven, fast-paced, and dynamic team environment, the OSP-FMS is a group of professionals structured with expertise focused on achieving department and institutional goals by providing services and support to an assigned portfolio with duties of a complex and confidential nature. OSP-FMS is critical in maintaining the integrity of the research enterprise. The position(s) ensures that research activities are conducted efficiently and in compliance with all relevant regulations and policies. - ~1,000 Principal Investigators from 40+ VUMC Departments, Institutes, and Centers submitting 4,000+ applications achieving ~$900M in sponsored awards annually from 500+ unique external sponsors resulting in the monitoring of an awards portfolio of over 4000 Workday AWDs and 6000 unique grant tags supporting nearly $800M in grant and contract expenditures

KEY RESPONSIBILITIES
- Manages complex and time-sensitive accounting/financial activities with a high-level of knowledge and demonstrated subject matter expertise, ensuring proper oversight requirements and reporting to key stakeholders.
- Manages daily fiscal responsibilities of research awards and sponsored funds within an assigned portfolio, including the operational oversight of post-award processes, i.e., effort reporting, financial reporting, and project close-outs.
- Work across central office teams to review, create, and optimize Workday financial reports; provide input on departmental annual research budgets; conduct analyses of center deficit/surplus corrections; and compile and submit grant closeouts, year-end closings, invoice monitoring, and other financial activities.
- Oversee compliance and risk management activities for an assigned portfolio, including but not limited to quarterly effort certification processes, the annual faculty research survey, and adherence to institutional policies
- Coordinate multiple and competing priorities under absolute deadlines
- Proactivity communicate and assist PI with fiscal management oversight and all periodic reporting requirements (as detailed in awards) ensuring the accuracy of all reporting information

Banner Security works 3 12-hour shifts and a half day. This is a full-time Night shift position, Shift D: (Wed-Sat) ½ Wed 12 midnight - 6 am, then Thur - Sat 6pm-6am. Night shift offers an 18% differential, plus an extra $1/hour on your weekend shift!
Successful candidates will be physically fit and able to maintain sufficient physical fitness to successfully pass the functional capacity evaluation (FCE), which includes completing 44 steps and 20 “down ups” in under 2 minutes.

CORE FUNCTIONS
1. Exhibits excellent interpersonal skills and be customer service oriented in all contacts with patients, visitors and staff.
2. Responds to all emergency codes for assistance and control. Patrols and inspects facility frequently to assist in maintaining a safer and more secure environment. Assists employees with security related matters, mediate disputes, conduct interviews, conduct searches, enforces parking regulations and traffic control. Serves as a security subject matter expert.
3. Assists medical staff in restraining and handling troubled/combative patients. Ensures security policies are being followed. Patrols unoccupied areas and sets the alarms when appropriate. Locks and unlocks facility doors at prescribed times. Conducts money pick-ups from departments, logs pick-ups and successfully delivers the contents to the appropriate destination department. Releases bodies from the morgue, ensuring that all paperwork is complete. Checks alarms to ensure they are in proper working order. Escorts patients, visitors and employees when required for security purposes. Participates in security lead training designed for staff.
4. Maintains current knowledge of applicable laws and regulations. Performs “citizen arrest” and demonstrate critical thinking skills during extremely stressful situations as needed.
5. Utilizes assigned non-lethal weapon according to policy and training.
6. Investigates and completes written reports of complaints, critical security incidents and unusual activities involving patients, employees and visitors. Maintains an accurate log of all relevant security activities during each shift.
7. Testifies in criminal court, state hearings and review boards when required.
8. Assists in the maintenance and preservation of confidential health documents including scanning into electronic patient health information systems when necessary.
9. Reports directly to the Security leadership or OIC in their absence. This position interacts internally with staff, physicians, visitors, volunteers and patients. External customers are law enforcement agencies and emergency service agencies. The position is system wide and officers may be assigned to work at any facility as needed. This position will provide guidance and direction to staff, visitors and patients during a security emergency. This position will be required to proactively identify, deter and respond to security incidents.
MINIMUM QUALIFICATIONS
Must maintain required security certifications. Must possess a valid driver’s license and be eligible for coverage under the company auto insurance policy.
Must possess the ability to make accurate observations and exercise good independent judgment in a variety of situations (including emergencies). Must demonstrate the ability to write comprehensive security reports. Must successfully complete all required security departmental training, including department specific annual training and mandatory training as assigned. Must successfully complete Banner Health Basic Officer Academy. Must present a professional appearance and demeanor at all times and must possess strong verbal communications skills. Must qualify and maintain proficiency with assigned non-lethal weapons. Must be able to demonstrate the ability to perform physical requirements of the position. Capabilities will be demonstrated through the successful completion of similarly related skills testing. The RN Quality Specialist will maintain the efficient operation of
the trauma PIPS process (performance improvement and patient safety). The Trauma Quality Specialist works in collaboration with the trauma team and program leadership and is
responsible for the coordination and facilitation of the trauma PI program to improve the
quality of trauma care encompassing all areas and disciplines of the hospital that participate in
the management of the injured patient throughout their entire stay. They
will be responsible for monitoring and evaluating performance improvement activities including
data collection, analysis, trending, and benchmarking of data outcomes at the local, regional,
state, and national levels.
Qualified candidates will have a minimum of a Bachelor's Degree in Nursing with at least five

POSITION SUMMARY

8. In some roles, this position may supervise professional staff.
9.
