Education
- Required - High School Diploma/GED
- Preferred - Completion of a formal medical assistant training program.
Work Experience
- Required - Experience working with and maintaining confidential information including experience working in a fast-paced environment with minimal supervision
Certifications
- Required - Medical Assistant Certification
- Required - Basic Life Support (BLS) from the American Heart Association
Knowledge Skills and Abilities (KSAs)
- Clinical knowledge.
- Proficiency in using computers, software, and web-based applications.
- Effective verbal and written communication skills and ability to present information clearly and professionally to varying levels of individuals throughout the patient care process.
- Strong interpersonal and customer service skills.
Job Duties
- Supports the patient and provider throughout the patient visit
- Ensures the patient and provider are prepared for the visit
- Ensures the patient’s questions are answered prior to leaving; prepares room for next appointment
- Provides excellent patient service through effective communication both over the phone and in person
- Completes appropriate documentation including patient registration if necessary
- Maintains required clinical knowledge, technical skills, training and credentials through personal professional development
- Meets the procedures of the Department of Transportation Workplace Drug and Alcohol Testing Programs, if working in an occupational health clinic
- Adapts behavior to the specific patient population, including but not limited to: respect for privacy, method of introduction to the patient, adapting explanation of services or procedures to be performed, requesting permissions and communication style
- Performs other duties as assigned
- Complies with all policies and standards

Because the incumbent works within a healthcare setting, there may be occupational risk for exposure to hazardous medications or hazardous waste within the environment through receipt, transport, storage, preparation, dispensing, administration, cleaning and/or disposal of contaminated waste. The risk level of exposure may increase depending on the essential job duties of the role.

The Supervisor, Pharmacy Services will take on responsibilities in the areas of pharmacy operations, technology and automation, medication safety, quality improvement, regulatory compliance, staff oversight and training, and medication compounding and preparation related to all aspects of pharmacy operations at UofL Health suburban campuses. The Supervisor, Pharmacy Services will indirectly report to the Director, Pharmacy Operations – Suburban Campuses (Mary & Elizabeth, Shelbyville, and Peace Hospitals) to provide safe, timely, efficient, equitable, effective, and patient-centered medication use.
The position requires the ability to communicate and collaborate effectively with patients, physicians, nurses, pharmacists and allied health professionals from all clinical disciplines regarding activities related to the improvement of medication use. Ensures that all activities are consistent with overall hospital objectives. The position demonstrates competence to provide pharmaceutical care for pediatric (birth to 11 years), adolescent (12-18), adult (19-65), and geriatric (66-over) patients.
Essential Functions:
Medication systems and operations coordination
- Manage and lead the provision of safe, timely, efficient, equitable, effective, and patient-centered pharmacy patient care services and operations for areas of responsibility
- Responsible for operational systems to assure appropriate prescribing, distribution, administration, and monitoring outcomes of drug therapy process
- Assure that existing automation is being utilized at the highest level of efficiency
- Assure compliance within sterile compounding (USP 797), non-sterile compounding practices (USP 795), and handling of hazardous drugs (USP 800)
- Assist and coordinate efforts to ensure operations meet compliance and quality improvement standards and initiatives
- Maintain quality assurance programs for pharmacy services designed to objectively and systematically monitor care, pursue opportunities for improvement, resolve identified problems as may exist, and detect and prevent drug diversion
- Oversight of records retention per hospital policy, including but not limited to: employee records, controlled substance invoices, compounding records, etc.
- Identify opportunities to redesign operational systems to maximize labor and operational efficiency
- Provide oversight of day-to-day operations while identifying and resolving problems which occur
- In collaboration with Medication Safety Manager, review reports for medication errors, adverse drug events, ineffective service, or other problem identification. Analyze and implement quality improvement measures for improving organizational performance

- Actively contributes to evaluating and efficiently fulfilling staffing and resource needs within the department’s budget. Collaborates with unit nursing leadership to make thoughtful preceptor and nurse assignments, ensuring patient care responsibilities are aligned with staff expertise and patient acuity. Takes ownership of unit operations on a shift-by-shift basis to maintain seamless and effective care delivery.
- Serves as a role model for staff regarding customer relations, monitors unit customer service and intervenes as necessary; rounds on internal and external customers based on unit requirements.
- Participates in employee evaluations, counsels and coaches employees when necessary, and implements disciplinary process according to policy including time and attendance issues; remains knowledgeable of regulatory standards and ensures staff are maintaining and adhering to all department and facility policies; maintains anecdotal documentation such as capturing qualitative insights that may not be reflected in formal reports or metrics and supporting performance evaluations, coaching or follow-up discussion with real-life context.
- Participates in the review and investigation of occurrence reports; intervenes and develops action plans for actual events and near misses and shares the results with staff.
- Acts as a clinical resource and may assist with education and may dispense education for staff as needed; may be responsible for interviewing, scheduling, expediting patient flow, promoting efficiency within the unit and management of productivity.

- Maintains compliance with all company policies, procedures and standards of conduct
- Complies with HIPAA privacy and security requirements to maintain confidentiality at all times.

Additional Job Description:
Education:
- Associate Degree in Nursing from an accredited/approved school of nursing (Required)
- Bachelor of Science in Nursing (BSN) from an accredited/approved school of nursing (Preferred).
Experience:
- A minimum of 6 months frontline patient care experience (Required)
- One (1) year of frontline patient care experience (Preferred).
Licensure: Active Kentucky Registered Nurse License or compact license with privileges to work in Kentucky (Required).
Certification:
- Basic Life Support (BLS) accredited by the American Heart Association (AHA) (Required)
- Advanced Cardiovascular Life Support (ACLS) accredited by the American Heart Association (AHA) (Preferred) unless the role is within a department where it is a mandatory requirement.
- National Nursing Certification in Field of Specialty obtained, if not held at time of hire (Preferred).
- Note: Additional, specialized certifications may be required or preferred based on unit.
